**TL;DR:** _I picked the 6 best_ [_document management software_](https://www.capterra.com/document-management-software/) _platforms based on 2,175 verified Capterra reviews from October 2024 to October 2026. I evaluated each on document search and organization, sharing and permissions, and ease of use._

Finding the right document takes too long when files live in shared drives, email threads, and local folders. I analyzed 2,175 verified Capterra reviews to pick the 6 platforms that fix it.

What I found across the 2,175 reviews is that reviewers care most about ease of use and sharing documents with their team. Their complaints center on learning curve and setup, slow uploads or sync, and cost.

The six picks are Box, DocuWare, Google Drive, M-Files, Microsoft SharePoint, and Revver.

Products are listed alphabetically. Inclusion is based on the methodology at the bottom of this article.

Quick take

Google Drive has the highest rating at 4.80 on 1,395 reviews, but reviewers describe it mainly as storage and collaboration. M-Files has the highest support score on this list (4.57) and a 4.69 functionality score, with a steeper learning curve. Box (222 reviews) suits secure external sharing, and Microsoft SharePoint (303) suits Microsoft 365 teams willing to manage complexity. Revver suits small teams that want search and workflows, and DocuWare suits paper-heavy back offices, though on only 23 reviews.

## Which are the best document management software platforms?

This document management software comparison shows how all six picks rate on Capterra, based on verified reviews from October 2024 to October 2026.

| Product | Rating | Reviews analyzed | Best for | Starting price |
| --- | --- | --- | --- | --- |
| [Box](https://www.capterra.com/p/148766/Box/) | 4.55/5 | 222 | Secure file sharing and permissions | $20/user/month, Business plan |
| [DocuWare](https://www.capterra.com/p/220466/DocuWare/) | 4.57/5 | 23 | Paper capture and invoice workflows | Custom quote |
| [Google Drive](https://www.capterra.com/p/161425/Drive/) | 4.80/5 | 1,395 | Simple storage and real-time sharing | $7/user/month, Business Starter |
| [M-Files](https://www.capterra.com/p/122215/M-Files/) | 4.60/5 | 93 | Metadata search and compliance-heavy teams | Custom quote |
| [Microsoft SharePoint](https://www.capterra.com/p/1167/SharePoint/) | 4.50/5 | 303 | Microsoft 365 teams | $5/user/month, Plan 1 |
| [Revver](https://www.capterra.com/p/123400/revver/) | 4.50/5 | 139 | Small teams that want search and workflows | $25/user/month, Basics |

## How did I choose these document management systems?

To build this list, I selected products based on the following criteria:

- **Review volume:** Have at least 20 verified Capterra reviews in the last 24 months.

- **Rating floor:** Have an overall Capterra rating of 4.2 or higher, based on data from the last 24 months.

- **Category qualification:** Appear on Capterra Shortlist for document management software (2026) and be used by reviewers to store, organize, search, or share business documents.

Of the 18 products on Capterra Shortlist for this category, 3 did not meet the criteria and 9 more met them but are not featured. The Methodology section explains why. The data I analyzed skews toward small teams, so larger organizations should weight the results differently.

Test before you buy

Upload 20 of your own documents with real file names, set permissions on one folder, and time how long it takes a teammate to find 5 of them. Learning curve and setup came up in 93 of 303 SharePoint reviews, 50 of 139 Revver reviews, and 23 of 93 M-Files reviews, so this test shows any gap quickly.

## 1\. [Box](https://www.capterra.com/p/148766/Box/): Best for secure file sharing and permissions

_Box folder view showing shared files, permissions, and collaboration options_

Box has 222 reviews at 4.55, with 4.68 for ease of use and 4.52 for functionality. Reviewers are spread across company sizes, from self-employed (22 of 222) and 2 to 10 employees (49 of 222) to 51 to 200 employees (50 of 222), and the most common titles are Owner, Project Manager, Manager, and Director.

Box is secure content sharing first, with document management features such as version history, metadata, and permissions layered on top. It fits teams that share documents with clients and outside partners more than teams that need approval routing or paper capture. Reviewers rate it 4.34 for support and 4.32 for value.

#### Trial/Free Version

- Free Version

#### Device Compatibilty

**Why users like it:**

- File sharing and collaboration came up in 118 of 222 reviews.

- Ease of use came up in 96 of 222 reviews.

- Security and permissions came up in 70 of 222 reviews.

**Key features:**

- **Granular permissions:** Sets view, edit, and expiration options on files and folders.

- **Version history:** Tracks revisions so teams can return to earlier versions.

- **Secure sharing:** Shares files by link or invite with internal and external collaborators.

- **Box AI and integrations:** Adds AI question-and-answer on documents and connects to Microsoft Office, Google Workspace, Slack, and Salesforce.

**Limitations to know:**

- Slower sync with large files and folders came up in 39 of 222 reviews, though 96 reviewers praise its ease of use.

- Pricing came up in 33 of 222 reviews, including small teams who find plan costs high.

**What a verified Capterra reviewer says:**

"What I like most about Box is how easy it is to securely store, organize, and share files with others. Collaboration is simple, version history is helpful when working on documents, and access permissions make it easy to control who can view or edit files."

April Vella, Loan Originator, Valley Mortgage Investments, September 2026

One small-business owner wrote:

"The pricing structure for small teams is a significant drawback and requires substantial budget allocation"

Derek Grima, Owner, BeFinancial, April 2025

The Business plan starts at $20 per user per month with a three-user minimum, and larger upload limits and compliance options such as HIPAA and FedRAMP sit in higher tiers. Check [Box's plans](https://www.capterra.com/p/148766/Box/pricing/) for the tier you need. Comparing it with SharePoint? See Capterra's [SharePoint vs. Box comparison](https://www.capterra.com/compare/1167-148766/SharePoint-vs-Box). With 222 reviews and a 4.55 rating, Box is a well-validated pick for secure sharing.

_**The bottom line:**_ _Box is built for secure sharing rather than workflow automation, which makes it a strong fit for teams that work with clients and outside partners._

## 2\. [DocuWare](https://www.capterra.com/p/220466/DocuWare/): Best for paper capture and invoice workflows

_DocuWare document viewer showing indexed documents, search fields, and workflow status_

DocuWare scores 4.57 overall from 23 reviews, with 4.57 for ease of use and 4.43 for functionality. Its reviewers are mostly small and midsize teams: 15 of 23 are at companies with 11 to 200 employees, and 16 of 23 are in the United States.

It is the pick when paper and PDF invoices pile up and you want documents scanned, indexed, and routed for approval in one system. Reviewers rate it 4.19 for support and 4.15 for value, the lowest value score on this list. With only 23 reviews, its numbers are the least validated of the six, so read them as directional.

#### Trial/Free Version

- Free Trial

#### Device Compatibilty

**Why users like it:**

- Ease of use came up in 13 of 23 reviews.

- Search and indexing came up in 10 of 23 reviews.

- Paper scanning and invoice capture came up in 8 of 23 reviews.

**Key features:**

- **OCR and document capture:** Scans paper documents and extracts data to index them.

- **Workflow automation:** Routes invoices and contracts for approval.

- **Search and indexing:** Finds documents by tags, index fields, and full-text search.

- **Access controls and audit trails:** Sets role-based permissions and records activity for compliance.

**Limitations to know:**

- Learning curve and setup came up in 7 of 23 reviews, including the need for IT help and administrator training, though 13 of 23 reviewers praise its ease of use.

- Cost came up in 6 of 23 reviews, and one reviewer reported a quote above $60,000 per year for 100 licenses.

**What a verified Capterra reviewer says:**

"Docuware has been working alright because it ate all our old paper clutter in the office. We can scan a huge pile of invoices and they just end up in the cloud where everyone can view them. Also the permission levels really do work so the interns don't have access to the payroll documents."

Nathan Hawkes, President, Arcane Marketing, September 2026

One reviewer wrote:

"DocuWare can be quite expensive—our quote for 100 licenses is over $60,000 per year."

Iaron Carlo Bautista, Desktop Support Specialist, Worldwide Flight Services, September 2026

DocuWare lists a free trial, and pricing is on request through [its Capterra pricing page](https://www.capterra.com/p/220466/DocuWare/pricing/). Comparing it with Revver? Read Capterra's [Revver vs. DocuWare comparison](https://www.capterra.com/compare/123400-220466/revver-vs-DocuWare). In my analysis, 23 reviews is too small a base to rank DocuWare above the others. I treat it as a shortlist candidate for paper-heavy finance and administrative teams, not a default.

_**The bottom line:**_ _Pricing is by custom quote and setup takes time, so ask for a quote and an implementation plan early. For paper-heavy back offices, reviewers say the payoff is scanned, searchable records._

## 3\. [Google Drive](https://www.capterra.com/p/161425/Drive/): Best for simple storage and real-time sharing

_Google Drive folder view showing shared files, owners, and sharing options_

Google Drive has the highest rating on this list, 4.80, on 1,395 reviews, and the highest scores for ease of use (4.86), functionality (4.72), and value (4.68). Its reviewers are mostly small teams: 869 of 1,395 (62%) are self-employed or at companies with 50 or fewer employees, and the most common titles are Owner, CEO, Manager, and Student.

It is the pick when you want a familiar place to store, share, and co-edit documents at low cost. Reviewers describe it mainly as storage and collaboration, so teams that need metadata fields, approval routing, or retention rules should compare it with the dedicated systems below.

**Why users like it:**

- File sharing and real-time collaboration came up in 651 of 1,395 reviews.

- Ease of use came up in 591 of 1,395 reviews.

- Google Workspace integration came up in 266 of 1,395 reviews.

**Key features:**

- **Shared drives and permissions:** Sets view, comment, and edit access on files and folders.

- **Real-time co-editing:** Lets teams work on Docs, Sheets, and Slides at the same time, with version history.

- **Search and offline access:** Finds files with search and keeps selected files available offline.

- **Free version:** Includes a free plan, with paid Google Workspace plans starting at $7 per user per month.

**Limitations to know:**

- Storage and space limits came up in 466 of 1,395 reviews, including reviewers who say the free storage fills quickly, though 591 of 1,395 reviewers praise its ease of use.

- Slow uploads, large-file handling, and sync came up in 261 of 1,395 reviews.

**What a verified Capterra reviewer says:**

"The perfect space where to store all our workflow, including data-sheets, documents and meeting recordings. Perfect for us as we are on full remote so it helps the collaboration by having everything in one place for everyone. Value for money is priceless."

Shady Abou Dib, Head of Monetization, Demalia OÜ, September 2026

One creative director wrote:

"The main issue I've come across is that the free storage space quickly becomes limited when you work with large files like videos or presentations loaded with images."

Delphine Dores, Creative Director- Photography, Straub Collaborative, Inc, August 2026

Business Starter costs $7 per user per month, and [Google Drive's plans](https://www.capterra.com/p/161425/Drive/pricing/) include a free version. Weighing it against SharePoint? See Capterra's [SharePoint vs. Google Drive comparison](https://www.capterra.com/compare/1167-161425/SharePoint-vs-Drive). With the highest rating and the largest review base, in my view Drive is the right starting point for small teams that don't need metadata-driven search or approvals.

_**The bottom line:**_ _Drive is storage and collaboration first, and it is the highest-rated, easiest starting point for small teams._

## 4\. [M-Files](https://www.capterra.com/p/122215/M-Files/): Best for metadata search and compliance-heavy teams

_M-Files vault view showing documents organized and filtered by metadata instead of folders_

M-Files scores 4.60 overall from 93 reviews, with 4.69 for functionality and 4.57 for support, the highest support score on this list. Its reviewers skew toward small and midsize companies: 29 of 93 are at companies with 51 to 200 employees and 18 are at 201 to 500, and the largest groups are in the United States (27) and India (23). Most of its reviews (88 of 93) were written before 2026.

It is the pick when documents need to be found by project, client, or date rather than by folder, and when approvals and version control matter. Reviewers rate it 4.57 for ease of use and 4.51 for value, but the metadata approach takes time to learn.

#### Trial/Free Version

- Free Trial
- Free Version

#### Device Compatibilty

**Why users like it:**

- Search and metadata organization came up in 47 of 93 reviews.

- Ease of use came up in 38 of 93 reviews.

- Workflow automation and approvals came up in 28 of 93 reviews.

**Key features:**

- **Metadata-based organization:** Classifies and finds documents by properties instead of folders.

- **Workflow automation:** Routes documents for review and approval.

- **Version control and audit trail:** Tracks changes and who made them.

- **Microsoft integrations:** Connects to Microsoft 365, Teams, and Outlook.

**Limitations to know:**

- Learning curve and setup came up in 23 of 93 reviews, especially for users used to folder systems, though 47 of 93 reviewers praise its search and metadata organization.

- Cost came up in 12 of 93 reviews, with reviewers calling it expensive for smaller businesses.

**What a verified Capterra reviewer says:**

"What I liked most about M-files is how it organizes documents using metadata instead of just folders, which makes searching for files much easier once everything is set up properly. It helps reduce the mess of shared drives and makes documents easier to find by project, client, date, or other filters."

Arunmurugan Sundararaj, PMP, CSM, Project Manager, Genentech, May 2026

One reviewer wrote:

"M-Files is little expensive for smaller businesses, especially when advanced features are needed. Some users will feel the initial setup and workflow configuration complicated, while occasional bugs or performance issues affect productivity."

Muhammad Zohaib Awan, Talent Acquisition Officer, C.A.T International Limited LLC, September 2026

M-Files lists a free trial and custom quotes. Comparing it with Revver? Read Capterra's [M-Files vs. Revver comparison](https://www.capterra.com/compare/122215-123400/M-Files-vs-revver). In my analysis, its 4.69 functionality score and 4.57 support score make it the strongest fit here for document-heavy, compliance-driven teams, provided you budget for setup.

_**The bottom line:**_ _Setup takes training and pricing is by custom quote, so plan for an administrator and a pilot. In return, M-Files has the highest support score on this list (4.57)._

## 5\. [Microsoft SharePoint](https://www.capterra.com/p/1167/SharePoint/): Best for Microsoft 365 teams

_SharePoint document library showing files, version history, and permissions_

Microsoft SharePoint has 303 reviews at 4.50, with 4.43 for ease of use, the lowest on this list, and 4.38 for value. Reviewers span company sizes, with the largest groups at 51 to 200 employees (74 of 303), 11 to 50 (49), and 201 to 500 (37), and 144 of 303 are in the United States, followed by 41 in the United Kingdom.

It is the pick when your team already works in Microsoft 365 and wants document libraries, permissions, and team sites in one place. Reviewers rate it 4.40 for functionality and 4.14 for support, the lowest support score on this list.

#### Trial/Free Version

- Free Trial
- Free Version

#### Device Compatibilty

**Why users like it:**

- Sharing and collaboration came up in 188 of 303 reviews.

- Microsoft 365 and Office integration came up in 123 of 303 reviews.

- Ease of use came up in 109 of 303 reviews.

**Key features:**

- **Document libraries with version history:** Stores files with versioning and co-authoring.

- **Granular permissions:** Controls access at the site, library, folder, and file level.

- **Team sites:** Builds intranet and project sites for sharing documents and updates.

- **Microsoft 365 integration:** Connects to Teams, Outlook, OneDrive, and Power Automate.

**Limitations to know:**

- Learning curve and complexity came up in 93 of 303 reviews, including permissions and setup, though 188 of 303 reviewers praise its sharing and collaboration.

- Slowness, sync problems, and bugs came up in 60 of 303 reviews.

**What a verified Capterra reviewer says:**

"What I liked most about SharePoint is how useful it is for keeping company files, documents, and team information organized in one place. It works well with Microsoft 365, especially Teams, OneDrive, and Outlook, which makes it easier to share files and control access. I also like that permissions can be managed properly so different users only see what they need."

Basel El Hamaida, IT Manager, Peak Processing Solutions, June 2026

One reviewer wrote:

"When you start working with a large volume of documents in a SharePoint library, the system can become rather slow and clunky which is frustrating."

Andrea May, Vice President, Instructional Design Services, Dasher & Thomson, Inc., January 2025

SharePoint (Plan 1) starts at $5 per user per month, and [SharePoint's pricing page](https://www.capterra.com/p/1167/SharePoint/pricing/) also lists Microsoft 365 Business Standard at $12.50. It has a free trial but no free version. Comparing it with M-Files? See Capterra's [SharePoint vs. M-Files comparison](https://www.capterra.com/compare/1167-122215/SharePoint-vs-M-Files). In my view, SharePoint makes the most sense for Microsoft-centered teams with admin support.

_**The bottom line:**_ _Setup can feel heavy without IT support, but sharing (188 of 303 reviews) and Microsoft 365 integration (123 of 303) are where SharePoint stands out._

## 6\. [Revver](https://www.capterra.com/p/123400/revver/): Best for small teams that want search and workflows

_Revver document library showing folders, search results, and workflow options_

Revver scores 4.50 overall from 139 reviews, with 4.55 for ease of use and 4.53 for functionality. Its reviewers range from 11 to 50 employees (29 of 139) to 10,001 or more (17), and 75 of 139 are in India, followed by 33 in the United States. Of the 139 reviews, 136 were written in 2025 or 2026, so the data reflects the current product.

It is the pick when you want OCR and metadata search, workflow automation, and secure sharing in one document management system. Reviewers rate it 4.42 for support and 4.29 for value.

#### Trial/Free Version

- Free Trial
- Free Version

#### Device Compatibilty

**Why users like it:**

- Ease of use came up in 64 of 139 reviews.

- Workflow automation and approvals came up in 56 of 139 reviews.

- Search and organization came up in 48 of 139 reviews.

**Key features:**

- **OCR and metadata search:** Finds scanned documents by their text and properties.

- **Workflow automation:** Automates routing and approvals.

- **Smart Extract AI:** Extracts metadata from documents using AI.

- **E-signature and permissions:** Requests signatures and sets role-based access.

**Limitations to know:**

- Learning curve and setup came up in 50 of 139 reviews, including configuring advanced features, though 64 of 139 reviewers praise its ease of use.

- Slower uploads and occasional glitches came up in 42 of 139 reviews, though 56 of 139 praise its workflow automation.

**What a verified Capterra reviewer says:**

"I like how easy Revver makes it to store, organize, and share documents in one central location. The file-sharing and collaboration features make it simple for teams to work together and access important files when needed. It is also fast, reliable, and easy to navigate, which makes managing documents much more efficient."

Nikki Caro, Office Manager, hytz roofing, September 2026

One administrative assistant wrote:

"It's frustrating to have to logout and back in to reboot Revver to get it to upload, which sometimes it uploads and other times it doesn't."

Mariah Thoreson, Administrative Assistant, Foundations Health and Wholeness, March 2025

Basics costs $25 per user per month, Essentials $67 (adds metadata and advanced search), and Full $87 (adds guest sharing and document requests), per [Revver's pricing page](https://www.capterra.com/p/123400/revver/pricing/). Weighing it against SharePoint? See Capterra's [SharePoint vs. Revver comparison](https://www.capterra.com/compare/1167-123400/SharePoint-vs-revver). What I found is that the features most buyers want, metadata and guest sharing, sit above the $25 entry price, so I would budget for Essentials or Full.

_**The bottom line:**_ _Metadata and guest sharing sit in higher tiers, so check the plan before you commit. On the right tier, Revver gives small teams search, workflows, and sharing in one system._

## What should you look for in document management software?

Picking document management software comes down to more than a feature checklist. Here is what decided fit across the 2,175 reviews I read, and the questions that matter most when comparing the best document management systems. For a wider look at the category, see Capterra's [best document management software for small businesses](https://www.capterra.com/document-management-software/s/small-businesses/) and its guide to [key document management software features](https://www.capterra.com/resources/key-document-management-software-features/).

**Can your team find documents without a tutorial?**

Search and organization was a leading pro theme for M-Files (47 of 93), Revver (48 of 139), and DocuWare (10 of 23), while ease of use led for Google Drive and Box. Test search with your own file names and tags in a demo.

**Does it control who can see and share what?**

Reviewers consistently valued permissions and secure sharing, with security and permissions cited in 70 of 222 Box reviews. SharePoint reviewers also flagged permissions as a pain point, in 38 of 303 reviews. Check folder-level permissions, expiring links, and outside access. If sharing with clients is your main need, also browse [file sharing software](https://www.capterra.com/file-sharing-software/).

**How much setup and admin does it need?**

Learning curve and setup came up in 93 of 303 SharePoint reviews, 50 of 139 Revver reviews, and 23 of 93 M-Files reviews. In my view, setup effort is the most underestimated factor in this category. Ask who will administer the system and whether you need IT time. If approval routing is the goal, also look at [workflow management software](https://www.capterra.com/workflow-management-software/).

**How is document management software priced, and what do the tiers gate?**

Starting prices in this list include $5 per user per month (SharePoint), $7 (Google Drive), $20 (Box) and $25 (Revver), with M-Files and DocuWare on custom quotes. Tiers often gate features: Revver adds metadata and advanced search at Essentials ($67) and guest sharing at Full ($87), and Box moves to larger upload limits and compliance options such as HIPAA and FedRAMP on higher tiers. The trap to watch for is a low entry price that leaves out the features you need. For plan-by-plan costs, see Capterra's [document management software pricing guide](https://www.capterra.com/resources/document-management-software-pricing-models/).

Ask what each tier unlocks

Metadata and advanced search (Revver Essentials), guest sharing (Revver Full), and compliance options (Box Enterprise) change the real cost. Ask each vendor for the price at your expected user count, and which features that price includes, before you book a demo.

**Does it fit your team size and document types?**

A tool built for paper capture and invoice routing can be a poor fit for a five-person team that mostly shares files, and a general file-sharing tool can fall short for compliance-heavy records. Use the review segments above to narrow your list.

## Frequently asked questions about document management software

What is document management software?

Document management software stores, organizes, and tracks business documents in one searchable repository. It adds version control and permissions, and often OCR and approval workflows, so teams can find the right file and control who can see it. See Capterra's full [document management software category](https://www.capterra.com/document-management-software/).

What is the best document management software?

There is no single best document management software for every team. Google Drive has the highest rating at 4.80 on 1,395 reviews. M-Files has the highest support score (4.57) and a 4.69 functionality score, Box and Microsoft SharePoint suit secure sharing and Microsoft 365 teams, Revver suits small teams that want workflows, and DocuWare suits paper-heavy back offices.

How much does document management software cost?

Entry plans on this list run from $5 to $25 per user per month, with custom quotes for M-Files and DocuWare, and Google Drive starts at $7 and Box at $20. [Capterra's category data](https://www.capterra.com/document-management-software/) puts entry-level systems at about $5.75 to $27+ per user per month, and its [pricing guide](https://www.capterra.com/resources/document-management-software-pricing-models/) breaks down tiers and hidden costs.

What is the difference between document management and cloud storage?

Cloud storage keeps and shares files, while document management adds the controls around them, such as metadata, version control, approvals, and audit trails. Google Drive and Box sit closer to storage and sharing, while M-Files, DocuWare, and Revver are built around metadata, capture, and workflows. Browse [cloud storage software](https://www.capterra.com/cloud-storage-software/) to compare.

Does Microsoft 365 include document management?

[Microsoft SharePoint](https://www.capterra.com/p/1167/SharePoint/) is Microsoft's document management platform and connects to Microsoft 365 apps such as Teams, Outlook, and OneDrive. Capterra lists SharePoint (Plan 1) at $5 per user per month and Microsoft 365 Business Standard at $12.50, so confirm which plan includes the features you need.

Is there free document management software?

Some tools offer free plans or trials. Browse Capterra's list of [free document management software](https://www.capterra.com/document-management-software/s/free/). Of the six picks, Google Drive and Revver list a free version, and Box, DocuWare, M-Files, and Microsoft SharePoint list free trials, so check each vendor's current plans.

Who should skip a full document management system?

Small teams with a limited number of files and no approval or retention rules can often start with a file storage tool such as Google Drive, then move to a dedicated system such as M-Files, Revver, or DocuWare as volume and compliance needs grow.

Is SharePoint or Box better for small teams?

In this review dataset, Box scored 4.55 across 222 reviews and SharePoint scored 4.50 across 303. Box rates higher for ease of use (4.68 vs. 4.43) and support (4.34 vs. 4.14), while SharePoint starts at $5 per user per month versus $20 for Box and fits teams already in Microsoft 365. Reviews were assessed from October 2024 to October 2026. All ratings and review counts reflect data as of the time of publication. Pricing was verified against each product's official Capterra listing in October 2026.

To be included in this list, each product had to:

1. Appear on Capterra Shortlist for document management software (2026).

2. Have a minimum of 20 verified Capterra reviews in the last 24 months.

3. Have an overall rating of 4.2 or above based on reviews in the last 24 months.

Several products were evaluated and not featured. Progress ShareFile (3.96) is on Capterra Shortlist but fell below the 4.2 rating floor, and Clinked (17 reviews) and Klyck (1 review) did not reach 20 reviews in the dataset. Nine products met all three criteria but are not featured, because where several overlapped I chose one product per use case and favored the larger review base: Dropbox (4.53, 246 reviews) and OneDrive (4.56, 983) overlap with Box and Google Drive, Zoho WorkDrive (4.46, 41) overlaps with Google Drive, and Glasscubes (4.82, 68) overlaps with Box and is mostly reviewed from the United Kingdom (55 of 68). Laserfiche (4.55, 20) and Square 9 (4.67, 21) are document capture and workflow tools with fewer reviews than DocuWare (23). Plumsail Documents (4.83, 29) is a document generation and workflow automation tool, Qualityze Suite (4.88, 24) is a quality management suite, and Bitrix24 (4.31, 140) is an all-in-one collaboration and CRM suite. Products not on Capterra Shortlist for document management (2026) were not considered, including general-purpose tools such as Connecteam, Google Workspace, monday AI Work Platform, and Docusign, which make up most of the raw review pull.

To build the shortlist:

- I analyzed 2,175 verified reviews of 6 products, 2,170 of them from Capterra and 5 from Software Advice and GetApp, drawn from a document management review export of 23,663 reviews across 424 products before the exclusions above.

- I assessed reviews on overall rating, ease of use, functionality, value, and support, and on themes in the pros and cons text. Theme counts reflect keyword matches in review text and are directional. Quotes are verbatim from the review dataset, and I did not quote non-English reviews.
