**TL;DR:** _In this article, I share my picks for the_ [**_10 best resource management software tools_**](https://www.capterra.com/resource-management-software/)_, based on 7,805 verified Capterra reviews from the last two years. I looked at how users rate these tools for capacity planning, work allocation, and utilization tracking._

I analyzed 7,805 Capterra reviews across 140 resource management products to find the 10 tools users rate highest. Each product had to meet the criteria outlined in my methodology, including inclusion in Capterra's 2026 Shortlist for Resource Management, a minimum number of recent reviews, and a strong overall rating.

Resource management software helps teams understand who has capacity, assign work based on availability and skills, and spot overloaded schedules before they affect deadlines or employee workload.

Rather than relying on vendor-created "best of" lists, I used user review data to determine the ranking and then checked those results against Capterra's Shortlist. This approach puts greater weight on what people actually experience when using these products and can surface specialized tools that may be overlooked in broader project management software lists.

If you're deciding whether your team needs a dedicated resource management tool or whether your existing project management software is enough, the comparisons and guidance further down can help you evaluate the options.

## How I chose these tools

I built this list from verified reviews left by resource management software users on Capterra, then checked every candidate against the 2026 Capterra Shortlist for Resource Management. To qualify, a product had to:

- Be included on Capterra's 2026 Shortlist for Resource Management.

- Hold a minimum overall rating of 4.0 and carry at least 20 reviews from the last two years.

- Be a genuine resource management platform. I excluded general project and development tools that only touch resourcing as a side feature, including Jira, Trello, NetSuite, Zoho Projects, Bitrix24, and SAP, even though several of them cleared the rating bar in the raw dataset.

- Fit Capterra's resource management software category definition, which centers on capacity planning, resource scheduling, and utilization reporting.

After that, I ranked the qualifying tools by overall rating and broke ties by review volume.

### 1\. GanttPRO: Best for Visual Capacity Planning via Gantt Charts

Gantt Chart (Source: [Capterra](https://www.capterra.com/p/142293/GanttPRO/))

[GanttPRO](https://www.capterra.com/p/142293/GanttPRO/) tops this list with a 4.82 out of 5 rating across 56 reviews, the highest of any tool here. Not only that, reviewers are quick to point out how much manual rescheduling the built-in automation saves once a plan is set up. This is a real bonus for teams juggling several overlapping projects, and it lines up with the review data: ease of use is the most repeated theme, showing up in 55% of GanttPRO's reviews.

Swetha Chukka, Program Manager, Tesla

**Bottom line:** Wrike suits larger teams that want resource management as part of a broader work platform rather than a standalone scheduling tool, and are willing to accept a real learning curve to get there. Its 4.61 score from reviewers matches the category average exactly across the 18 shortlisted tools I analyzed, a reminder that its value here comes from scale and platform breadth, not a resourcing-specific edge.

## What to look for in resource management software

Based on the patterns in the 7,805 reviews I studied, resource management tools vary widely depending on team size, industry, and how hands-on you want the planning to be. As you compare options, a few factors are worth weighing early:

- **Capacity visibility versus task tracking:** decide whether you need to see who has room to take on more work before you assign it, or whether general task tracking already covers you. Dedicated tools like Resource Guru, Float, and PlanningPME are built around the first; broader platforms like Wrike default to the second.

- **Workflow fit:** some tools are built for a specific kind of work. PlanningPME centers on field and technician scheduling, while Ruddr and Projectworks are built around professional services billing and margins. A tool built for your workflow tends to outperform a generic one built for everyone.

- **Onboarding and learning curve:** learning curve is the single most common complaint across all 140 products in this dataset, and it shows up even in top-rated tools like Wrike (116 of 391 reviews) and Ruddr (29 of 72). Ask about typical onboarding time before you buy, not after.

- **Support quality:** support varies even among highly rated tools. Read support-specific reviews for the products on your shortlist rather than relying on the overall star rating alone.

A quick way to narrow the list: name the one or two capabilities your current setup is missing, then compare tools against that specific gap. If cost is the deciding factor, Capterra's [free resource management software filter](https://www.capterra.com/resource-management-software/s/free/) is a reasonable place to start.

## Frequently asked questions

What is the best resource management software?

It depends on your team and workflow. GanttPRO and Teamwork.com hold the two highest overall ratings in this analysis, but Resource Guru, Float, Ruddr, and PlanningPME each fit a more specific use case. Compare the full list above against how your team actually plans and assigns work.

What's the difference between resource management and project management software?

Resource management software focuses on capacity planning, scheduling, and utilization tracking, meaning who is available and who is overloaded. [Project management software](https://www.capterra.com/project-management-software/) focuses on tasks, timelines, and deliverables. Several tools in this list, including Wrike and Teamwork.com, bundle both, while others, like Resource Guru and Float, focus on resourcing alone.

Is there free resource management software?

None of the 10 tools ranked in this analysis is completely free, though most offer a free trial. Capterra's [free resource management software filter](https://www.capterra.com/resource-management-software/s/free/) lists current free and free-trial options directly from vendors.

How much does resource management software cost?

Resource management software pricing varies widely in this category. Of the 10 tools on this list, nine publish a starting price: GanttPRO (from $7 per month), Teamwork.com (from $9.99 per month), Resource Guru (from $5 per month), Avaza (from $11.95 per month), PlanningPME (from $5.60 per month), Float (from $12 per month), Wrike (from $10 per month), Projectworks (from $19 per month), and Ruddr (from $30 per month). Forecast requires contacting the vendor directly for pricing.

What should I ask before choosing resource management software?

Start with whether you need capacity planning or just task tracking, whether the tool is built for your specific kind of work, how steep the learning curve is, and what verified users say about support specifically, not just the overall star rating.

Does resource management software integrate with the tools I already use?

Most of the tools on this list integrate with common project management, accounting, and calendar tools, though depth varies. Avaza reviewers specifically highlight API access for connecting resourcing data to spreadsheets and other systems, which is worth checking if your team relies on custom workflows.

## My take

In my analysis of resource management software, the biggest mistake buyers make in this category is defaulting to the most recognizable name instead of matching a tool to how their team actually plans work. Specialist tools like Resource Guru, Float, and PlanningPME outscore larger, more familiar project management suites on the reviews that matter most: the ones from people who use the software every day. My advice: start with the pick above that matches your workflow, check the learning curve against your team's tolerance for onboarding time, and read support-specific reviews before you commit.

Reviews were assessed from September 2024 to September 2026. All ratings and review counts reflect data as of the time of publication. Pricing was verified against official vendor pricing pages in September 2026.

To be included in this list, each product had to:

1. Be included on Capterra's 2026 Shortlist for Resource Management.

2. Have a minimum of 20 verified Capterra reviews in the last two years.

3. Have an overall rating of 4.0 or above based on reviews in the last two years.

4. Fit Capterra's criteria for resource management software, covering capacity planning, resource scheduling, and utilization reporting. General project, development, and enterprise resource planning tools that only touch resourcing as a secondary feature were excluded, even when they cleared the rating bar.

To build the shortlist:

- I analyzed 7,805 verified reviews drawn from a total dataset covering 140 resource management software products.

- Reviews were assessed on five dimensions: overall rating, ease of use, functionality, customer support, and value for money.

- Product category-feature coverage was sourced from Capterra's own Shortlist scoring.
