Managing a shift-based restaurant or hospitality team is harder than it looks. Late callouts, split shifts, seasonal spikes, and last-minute changes create scheduling pressure that compounds through every level of the operation. Good [scheduling software](https://www.capterra.com/employee-scheduling-software/) does not just help you post shifts faster. It reduces the administrative load across the whole team: employees see their schedules on mobile, request changes without calling the manager, and swap shifts without a back-and-forth chain.

According to Capterra's 2026 HR Software Trends survey, 45% of HR professionals cite retaining employees as one of their top three challenges. For restaurant and hospitality operators managing high-turnover, shift-based workforces, scheduling is where that challenge plays out every week. A tool that gives staff schedule visibility, self-service shift management, and direct communication with managers reduces the friction that drives people to leave.

I reviewed [employee scheduling software](https://www.capterra.com/employee-scheduling-software/) listed across 10 hospitality-related industry categories on Capterra, applied a minimum threshold of 20 verified reviews from hospitality users and an overall rating of 4.0 out of five stars, and filtered out tools built primarily for recruitment, appointment booking, or time tracking. From that analysis, five tools earned a place in this roundup.

Quick take

- **RotaCloud** is the highest-rated tool in this roundup overall, and the strongest all-round choice for UK-based hospitality operators.

- **Nowsta** is built for large catering and events businesses managing flex or gig workforces across multiple events.

- **Agendrix** suits restaurant groups that need scheduling, time tracking, and HR records in one per-user-priced platform.

- **Altametrics** is an enterprise operations suite for restaurant chains that need scheduling connected to inventory and reporting.

- **7shifts** is the only purpose-built restaurant scheduling tool in this list and has the largest verified user base by far, with the deepest POS integrations in the category.

## The 5 best restaurant scheduling software tools for 2026

### 1\. [RotaCloud](https://www.capterra.com/p/137099/RotaCloud/): best for all-round hospitality scheduling

Capterra rating: 4.9/5 (282 reviews)

_Shift planning view in RotaCloud (Source: Capterra)_

Starting price: £2/user/month (Standard plan, annual billing).

Note: RotaCloud is a UK-based product. All pricing is in GBP. A 30-day free trial is available with no payment details required.

RotaCloud earns the highest overall rating of the five tools in this roundup, at 4.9 out of five stars across 282 verified Capterra reviews. What drives that score is not a single standout feature. It is a pattern visible across the review data: hospitality managers describe it as the tool that removed the most stressful part of their job without requiring significant training or setup time. Customer support earns a 4.9 out of five stars on its own, the highest of any tool in this roundup and cited by name in multiple reviews. The review base is almost entirely UK-based, spanning hospitality, food and beverage, and retail businesses of all sizes. For a UK hospitality operator looking for a well-supported, affordable scheduling tool, the evidence here is clear.

**Key features:**

- Drag-and-drop schedule builder: Managers create and edit shifts in a visual calendar, copy previous schedules, use pre-built templates, and publish to all staff in one click.

- Mobile app for managers and employees: Staff view their schedules, check upcoming shifts, request time off, and offer shift swaps from their phones. Managers edit and publish from anywhere.

- Time and attendance module: An optional add-on (from £4.50/month) that lets staff clock in and out by phone or tablet, generates timesheets automatically, and exports data to payroll.

- Holiday and leave management: Tracks leave balances, processes requests and approvals, and flags overlaps with published schedules before they create gaps.

- Labor cost reports: Real-time labor cost data against scheduled hours, broken down by site or department, available on the Pro plan.

- Multi-site management: One account manages unlimited sites and departments, with separate schedules and user permissions per location.

**Why hospitality teams choose RotaCloud:**

- Managers across hospitality and food service consistently describe replacing paper schedules, Excel spreadsheets, and WhatsApp group chats as the primary reason they adopted it.

- The holiday management feature prevents scheduling errors during busy periods: overlapping leave requests flag automatically before a gap reaches a published schedule.

- Multi-site visibility lets general managers oversee schedules across locations without logging in and out of separate accounts.

- Customer support via live chat and phone is included on all plans at no extra cost.

"It has bought a lot of value to us in terms of providing us with a secure program which has less errors, saves us time, provides improved visibility and clear staff communication (in real time) all of which serve to reduce the level of stress previously experienced with alternative scheduling methods. Probably the best thing for us is that it offers great value for money which, as a hospitality business, is very much appreciated in a volatile, financial climate."

Nina E., Office Manager, Hospitality (Capterra, March 2026)

**Where it falls short:** RotaCloud offers only two native HR integrations (Breathe HR and People HR), which limits payroll automation for businesses outside those systems. Several reviewers also flag that there is no undo function after overwriting a published schedule: an accidental edit cannot be reversed, which is a meaningful gap for high-volume scheduling operations.

### 2\. [Nowsta](https://www.capterra.com/p/172778/Nowsta/): best for large hospitality and catering operations

Capterra rating: 4.9/5 (283 reviews)

_Workforce scheduling dashboard in Nowsta (Source: Capterra)_

Starting price: Contact vendor for pricing. Nowsta operates on annual enterprise contracts, with pricing starting from $18,000 per year. It is not a per-user or per-location SaaS tool. A free trial is not available.

Nowsta is not a scheduling tool for single-location restaurants. The pricing model and feature set signal this immediately: Nowsta is built for large catering companies, hotel groups, venues, and event operations that manage hundreds of flexible or contingent workers across multiple events at the same time. Clients include Aramark, Compass Group, JW Marriott, and Sodexo. The 283 verified Capterra reviews reflect that context: 36% of reviewers come from hospitality, 31% from food and beverage, and 20% from events services. With a 4.9 overall rating and consistent praise for how easy the platform is for large flex workforces, Nowsta is the strongest tool on this list for that specific use case.

**Key features:**

- AI-powered schedule builder: The system recommends optimal shift assignments based on worker history, performance ratings, and availability. Managers auto-fill open positions without manual outreach.

- Vendor and flex workforce management: Nowsta manages both direct employees and agency or vendor workers in one platform, with separate credential tracking and onboarding flows.

- Mobile shift acceptance: Workers receive shift offers on their phones and accept or decline with one tap, cutting the back-and-forth of phone and text-based scheduling.

- Event-specific document attachments: Managers attach uniform requirements, venue maps, or event briefings directly to individual shifts. Workers see them in the mobile app before arriving.

- GPS-verified mobile clock-in: Workers clock in at the event location with geofencing restrictions to prevent early or remote time entries.

- Payroll and timesheet integration: Timesheet data exports to payroll systems automatically. Labor cost reports by event or location are available in real time.

**Why large hospitality teams choose Nowsta:**

- Catering and events operations staffing hundreds of flex workers across simultaneous events need a system that auto-fills open positions at scale. Nowsta's AI recommendations reduce that process from hours to minutes, according to multiple reviewer accounts.

- A worker rating system after each shift creates a performance history that informs future scheduling. Managers surface top performers for high-priority events and identify reliability issues early.

- Native integrations with event management platforms (Caterease, Tripleseat, Total Party Planner, Curate) mean the event brief and staffing roster live in one connected system.

- Dedicated customer success managers and onboarding support are included, which reviewers cite as critical given the enterprise pricing level.

"I've threatened to quit if I can't have Nowsta. I love how fast I can work with Nowsta, building events, assigning staff, sending out information, moving people around from event to event, duplicating events, attaching PDFs with information that my teams will need."

Lisa D., Staffing Coordinator, Hospitality (Capterra, May 2023)

**Where it falls short:** Nowsta has no admin mobile app: managers must use the desktop interface to build and edit schedules. Several reviewers also note it lacks a recurring shift template for full-time permanent staff, which adds extra work for hospitality businesses that combine a core team with a flex workforce.

### 3\. [Agendrix](https://www.capterra.com/p/148280/Agendrix/): best for multi-site restaurant groups

Capterra rating: 4.8/5 (212 reviews)

_Timesheet view in Agendrix (Source: Capterra)_

Starting price: CA$3.25/user/month (Essential plan, annual billing). Note: Agendrix is a Canadian product. Pricing is in Canadian dollars. A free trial of up to 21 days is available with no credit card required.

Agendrix is a Canadian scheduling and workforce platform with a per-user pricing model that makes it one of the most cost-accessible options on this list for small to mid-sized restaurant groups. At CA$3.25 per user per month on the annual Essential plan, a 20-person team pays under CA$66 per month for scheduling, leave management, employee messaging, and payroll exports. The Plus plan adds HR records, document management, eSignature, and internal surveys. Customer support earns a 4.9 out of five stars across the review base, and reviewers consistently describe responses arriving within minutes. The tool is fully available in both French and English, which matters for Canadian businesses with bilingual workforces.

**Key features:**

- Schedule builder with automatic conflict detection: Agendrix flags scheduling conflicts (double-booked employees, availability violations, approved leave overlaps) before a schedule goes live.

- Open shift posting: Managers publish unassigned shifts that employees can volunteer for, reducing direct outreach. A seniority-based assignment option is available for unionized or regulated workplaces.

- Tip pooling module: A built-in tip pooling feature calculates and tracks tip distribution as part of the Time and Attendance add-on. Useful for restaurant groups that pool tips across roles.

- Automated timesheets and payroll exports: Clock-in data feeds directly into timesheets. Payroll exports connect to QuickBooks, ADP Workforce Now, Nethris, Lightspeed, and other platforms.

- Employee HR records and eSignature (Plus): Document storage, digital signing, internal surveys, and customizable HR fields consolidate HR administration for growing groups.

- Multiple clock-in options: Employees clock in via personal smartphone, shared tablet kiosk, GPS, biometric scanner, or landline phone.

**Why restaurant groups choose Agendrix:**

- Combining scheduling, time tracking, payroll exports, and HR records in one platform means restaurant groups avoid maintaining separate tools for each function.

- Per-user pricing scales predictably for growing teams, unlike flat-rate plans that cap employee counts below what some operations need.

- French and English language support makes it practical for Canadian markets with bilingual staff.

- Built-in tip pooling eliminates manual tip calculations at the end of a shift, a specific capability that most scheduling tools do not include.

"Very easy to use, plus our employees really like it. They have no excuses of not showing up to work. They receive their schedules as soon as we publicize it. As managers, we also see if the employees have seen the schedule."

Mike C., Owner, Restaurants (Capterra, March 2023)

**Where it falls short:** The manager-facing mobile app is less complete than the desktop version: some admin functions require desktop access. Several reviewers also note that payroll export reports require formatting cleanup before use in external payroll systems, adding a manual step that tighter integrations would eliminate.

### 4\. [Altametrics](https://www.capterra.com/p/16156/eRestaurant/): best for restaurant chains and franchises

Capterra rating: 4.6/5 (30 reviews)

_Workforce scheduling in Altametrics (Source: Capterra)_

Starting price: $150/month (contact vendor for advanced tiers and enterprise pricing).

Altametrics is an enterprise restaurant operations suite that includes scheduling as one module within a broader platform covering inventory management, daily reporting, accounting, and food safety checklists. It is designed for restaurant chains and franchises, not for independent operators or small groups. With 30 verified reviews on Capterra, the review base here is smaller than the other tools in this roundup. We have included it because it represents a distinct category: the integrated restaurant operations platform where scheduling connects directly to inventory forecasting, labor cost analytics, and business intelligence. Chain operators who need that level of cross-functional integration will find it a compelling option.

**Key features:**

- Workforce scheduling and shift management: Managers build and publish shifts, approve time punches, and view labor cost data by location. Scheduling and inventory run in separate apps within the Altametrics suite.

- Real-time labor cost alerts: Dashboards flag when a shift is running over the labor budget. Daily activity reports give managers KPI visibility without manual data collection.

- Mobile access for managers and crew: Both manager and crew mobile apps support schedule visibility, shift swapping, and remote clock-in from any device.

- Integrated operations suite: Altametrics connects scheduling, inventory, food safety checklists, daily reporting, and accounting in a platform designed for multi-location chains.

- POS and payroll integration: Time and attendance data connects to payroll processing. POS integration allows live sales data to inform labor cost forecasting.

**Why restaurant chains choose Altametrics:**

- Multi-location chain operators who need scheduling, inventory, and daily reporting connected in one system describe Altametrics as the platform that eliminates the need for separate software subscriptions across each function.

- Real-time labor cost alerts give shift managers the visibility to act on over-budget shifts before the end of service, rather than reviewing labor reports the next day.

- Built-in food safety checklists and compliance documentation serve QSR chains and franchises that must maintain consistent standards across all locations.

"My experience with Altametrics has been good and remarkable. Managing schedules, approving shifts, and utilizing punch management features is a breeze for managers. Crew members appreciate the simplicity of swapping shifts, chatting, and syncing schedules."

Trish S., General Manager, Hospitality (Capterra, February 2024)

**Where it falls short:** Scheduling and inventory run as two separate apps within the Altametrics suite, which some reviewers describe as inconsistent for a platform marketed as all-in-one. The platform is primarily designed for chains and franchises: independent restaurants or small groups are likely to find it overbuilt for their needs.

### 5\. [7shifts](https://www.capterra.com/p/123038/7shifts-Restaurant-Scheduling/): best for restaurant scheduling across all sizes

Capterra rating: 4.7/5 (1,212 reviews)

_Restaurant schedule builder in 7shifts (Source: Capterra)_

Starting price: Free (Comp plan, one location, up to 15 employees). Paid plans from $39.99 CAD/location/month (Essentials). Note: Pricing shown is in Canadian dollars; verify current USD pricing at 7shifts.com.

7shifts has the largest verified review base of any restaurant scheduling tool on Capterra, with 1,212 reviews and a 4.7 overall rating. It is the only purpose-built restaurant scheduling platform in this roundup: every feature, from POS integrations to tip management to labor compliance tools, is designed around the demands of food service operations. That focus shows in the reviews. Managers do not describe how they build schedules in 7shifts. They describe what happens after: staff receive their shifts instantly, pick up open shifts without a phone call, track their own hours, and communicate with managers in one place. 87% of reviewers come from small businesses, and the tool is used by more than 55,000 restaurants worldwide.

**Key features:**

- Restaurant-specific schedule builder: Section and station scheduling, role-based shift assignment, POS-connected labor forecasting, and weather-overlay scheduling for outdoor venues are all built into the core product.

- 70+ integrations: 7shifts connects with Toast, Square, Lightspeed, Clover, and other major restaurant POS systems, plus Gusto, ADP, Paychex, and Restaurant365 for payroll.

- Tip management: The Tip Management add-on calculates, distributes, and tracks tips, and sends tip data to payroll for taxation and payment. Available from $49.99 CAD/location/month.

- Labor compliance: Built-in tools flag overtime risk, track paid and sick time accruals, and support state-specific labor law compliance and custom attestations.

- Employee performance and engagement: Managers track tardiness, no-shows, and recognition. Staff provide shift feedback. Certification tracking and document storage are included on paid plans.

- Team communication: Group chat, one-way announcements, and SMS reminders notify staff of new schedules, open shift requests, and changes without sharing personal phone numbers.

**Why restaurant teams choose 7shifts:**

- The POS integration is the clearest differentiator: when 7shifts reads live sales data from the POS, managers schedule based on projected revenue rather than historical averages alone. Multiple restaurant owner reviews describe labor cost reductions of 2 to 5 percent of sales after implementing this feature.

- The free Comp plan provides basic scheduling for up to 15 employees at one location, giving independent restaurants a no-cost starting point before committing to a paid tier.

- With 55,000+ restaurants on the platform and integrations covering every major restaurant POS, 7shifts offers the deepest restaurant-specific feature set of any tool in this roundup.

"7shifts is really geared toward restaurant shift and labor management and communications, whereas so many of the other scheduling softwares out there try to fit the general case and do not handle the high-paced, dynamic nature of restaurant staffing nearly as well. From our perspective, 7shifts literally cuts down 5 to 10 hours a week of admin time."

Gerad C., President and Founder, Hospitality (Capterra, October 2019)

**Where it falls short:** Several reviewers report frequent glitches including slow loading, random logouts, and server-side delays that disrupt clock-ins during peak service. Notification reliability is also a recurring issue, with delays and missed alerts cited across more than 70 reviews. For time-sensitive operations where a failed clock-in creates payroll problems, these instability patterns are worth weighing against the product's feature advantages.

## What to look for in restaurant scheduling software

The right scheduling tool for a restaurant or hospitality business depends on four operational questions, not feature lists. According to Capterra's 2026 HR Software Trends survey, 41% of HR professionals using AI tools already apply them to scheduling and workforce planning, making it one of the fastest-growing operational use cases. The tools in this roundup reflect that shift: most now include some form of AI-assisted shift filling or demand forecasting. Here is how to evaluate them for your specific context.

### Does it match how you actually schedule?

Restaurant scheduling is not generic shift management. It involves roles, sections, and stations that must be filled in specific combinations each service. Tools like 7shifts are built around that structure. General workforce management tools are not. Before choosing a platform, check whether the scheduling view supports role-based assignment, section management, and split-shift tracking.

### How does it handle last-minute changes?

Callouts happen in every restaurant. The question is whether your scheduling tool makes finding a replacement fast. Look for an open-shift posting system where employees volunteer directly, a push notification system that reaches staff immediately, and a shift-swap workflow that does not require manager approval for every exchange. The faster staff self-serve on schedule changes, the fewer hours managers spend on the phone.

### Does it integrate with your POS and payroll?

Scheduling software that does not connect to your POS and payroll system creates double data entry. POS integration means labor cost forecasting based on projected sales. Payroll integration means timesheet data flows automatically without manual export and re-import. Ask each vendor exactly which version of your POS integrates with the product and whether the connection is native or via a third-party connector.

### Can both managers and staff use it on mobile?

In a restaurant or hospitality setting, neither managers nor staff work at a desk. A scheduling tool that works well for staff on mobile (viewing schedules, accepting shifts, requesting time off) but poorly for managers (editing schedules, approving changes, checking labor costs) creates a two-tier adoption problem. Check the mobile app separately for each user role before committing to a platform.

## Restaurant scheduling software pricing

Restaurant scheduling software pricing follows two main models.

Flat rate per location works well for single-location restaurants with stable headcounts, because the cost does not increase as you add employees. 7shifts uses this model: the Essentials plan costs $39.99 CAD per location per month for up to 30 employees. Altametrics also operates on a flat-rate model starting at $150 per month.

Per-user pricing is more predictable for multi-location groups where headcounts vary by site. Agendrix charges CA$3.25 per user per month (annual Essential plan): a 15-person team pays under CA$49 per month, a 40-person team pays under CA$131 per month. RotaCloud uses a similar model starting from £2 per user per month.

Enterprise pricing applies to Nowsta, which operates on annual contracts. Contact the vendor directly for a quote based on workforce size and feature requirements.

Free options: 7shifts offers a permanently free Comp plan for one location with up to 15 employees and basic scheduling. Most other tools offer free trials rather than permanent free tiers: Agendrix offers up to 21 days, RotaCloud 30 days.

## Frequently asked questions about restaurant scheduling software

What is restaurant scheduling software?

Restaurant scheduling software is a tool that helps managers build, publish, and manage employee schedules for shift-based food service and hospitality operations. It replaces manual methods such as spreadsheets, paper rosters, and group texts with a centralized system where managers assign shifts, employees view and confirm their hours, and scheduling conflicts flag automatically. Most modern tools also include time and attendance tracking, team communication, and payroll integration.

What do most restaurants use for scheduling?

Based on Capterra review data, 7shifts is the most widely used dedicated restaurant scheduling tool, with 1,200+ verified reviews and 55,000+ restaurants on the platform. Other commonly used tools include When I Work, Deputy, Homebase, and Sling. Smaller and independent restaurants also continue to use Google Sheets and group texts, though these create administrative overhead as team size grows.

Is there free restaurant scheduling software?

Yes. 7shifts offers a permanently free Comp plan for one location with up to 15 employees, including basic scheduling and one-way announcements. Agendrix and RotaCloud offer free trials of 21 and 30 days, respectively. None of the other tools in this roundup offer a permanent free tier.

How much does restaurant scheduling software cost?

Pricing depends on the model. Flat-rate plans like 7shifts Essentials start at $39.99 CAD per location per month. Per-user plans like Agendrix start at CA$3.25 per user per month (annual). Enterprise tools like Nowsta start from $18,000 per year. RotaCloud starts from £2 per user per month (GBP). Most tools offer a free trial before requiring payment.

What is the best scheduling app for restaurant employees?

For employees, the best scheduling app is the one they actually use. The tools in this roundup that score highest on ease of use from the employee perspective are RotaCloud and Agendrix, both at 4.8 out of five stars. 7shifts consistently earns praise for its staff-facing mobile app in restaurant-specific reviews, particularly for schedule clarity, shift-swap functionality, and team communication.

How do I schedule employees in a restaurant?

Effective restaurant scheduling starts with your labor budget, projected sales for the period, and minimum role coverage requirements per shift. Build the schedule around those anchors, then assign staff based on availability and requests. Use a scheduling tool that surfaces conflicts automatically and lets staff self-serve on shift swaps and time-off requests. Publishing schedules at least one week in advance reduces callouts and improves staff satisfaction.

## Bottom line

The [best restaurant scheduling software](https://www.capterra.com/employee-scheduling-software/) depends on the scale and structure of your operation. For a UK-based hospitality business looking for the best combination of ease of use, customer support, and value for money, RotaCloud is the strongest option in this roundup. For large catering and events organizations managing flex workforces across multiple events, Nowsta is the most capable enterprise platform available. Agendrix suits Canadian restaurant groups that need scheduling, time tracking, and HR records in one platform at a per-user price that scales with headcount. Altametrics is the right fit for multi-location chains that need scheduling connected to inventory, reporting, and food safety compliance in a single suite.

For independent and small-to-mid-sized restaurants, 7shifts is the strongest starting point in the category: the free Comp plan removes the cost barrier, the POS integrations are the deepest of any tool here, and 1,200+ verified reviews provide a reliable signal of what works in an actual restaurant environment. Use the comparison table at the top of this article to match each tool against your location count, team size, and the integrations you already use.

To identify the best employee scheduling software for restaurants and hospitality, I analyzed verified user review data from Capterra filtered to the following qualifying industries: Hospitality, Restaurants, Food and Beverages, Leisure, Travel and Tourism, Entertainment, Gambling and Casinos, Recreational Facilities and Services, Health, Wellness and Fitness, Sports, and Events Services. I excluded logistics and transportation segments including airlines and trucking.

To qualify for this list, software needed a minimum of 20 verified reviews from qualifying hospitality users and an overall rating of 4.0 out of five stars or higher.

I manually verified that each tool's primary function is staff scheduling, and removed tools built primarily for applicant tracking, appointment booking, time-clock recording alone, or general HR and payroll suites where scheduling is a secondary module.

The following products were removed from the initial results: 100Hires (primary category: Applicant Tracking), Calendbook (primary category: Calendar and appointment booking), TimeTrakGO (primary category: Time Clock), and Info-Tech HRMS (primary category: Payroll). Only tools whose primary Capterra category is Employee Scheduling, Workforce Management with scheduling as a core function, or Restaurant Management with scheduling as the primary feature were retained.

I ranked the final products by average overall rating from hospitality-segment reviewers, using total hospitality review volume as a tiebreaker. All ratings and review counts reflect Capterra data as of July 2026. I verified current pricing directly on each vendor's website before publication.
