When I reviewed how CRM tools are used and misused in real estate, one failure pattern appeared more than any other: brokerages had invested in a CRM, but agents weren't consistently using it as their primary system for managing leads and client interactions. Instead, they tracked leads in spreadsheets, followed up from memory, and managed buyer conversations across disconnected email threads. When a deal fell through or a lead went cold, there was no way to trace what happened or when follow-up stopped.

The operational gaps I observed consistently came down to the same four problems:
