Running a daycare is no easy feat. You need to plan and execute various administrative tasks, including daily attendance tracking, student enrollment, teacher schedule creation, and payroll management. Daycare software with the right features can help you perform these tasks without hassle.

To help you with your search, we’ve determined five key daycare software features based on the ratings given by verified software users. We also include the highest-rated daycare software for each feature.

## 1\. Parent portal

The parent portal feature in daycare software serves as a centralized platform for parents or guardians to interact with the daycare center and stay updated on their child's activities, progress, and well-being. The parent portal may allow parents to view their child's attendance records, including check-in and check-out times.

This helps parents keep track of their child's attendance patterns and ensures transparency in daycare operations. It may also include a gallery or media section where parents can view and download photos or videos shared by daycare staff.

### What business problem does a parent portal solve?

Daycare centers face several challenges and limitations, many of which can be addressed through the implementation of a parent portal feature:

- **Communication barriers**: Traditional communication methods such as phone calls, notes, or in-person conversations can be time-consuming and prone to miscommunication. A parent portal streamlines communication by providing a centralized platform for instant messaging between parents and daycare staff, ensuring timely and accurate information exchange.

- **Limited access to information**: Parents often seek real-time updates on their child's activities, meals, naps, and developmental milestones at daycare. A parent portal provides parents with immediate access to daily reports, photos, videos, and other relevant updates about their child's daycare experience.

- **Administrative burden**: Daycare centers face administrative challenges in managing attendance records, billing and payments, enrollment forms, and other paperwork. A parent portal automates administrative tasks by offering features, such as online attendance tracking, electronic document signing, and integrated billing and payment functionalities, reducing the administrative burden on daycare staff.

### How users benefit from a parent portal

Here are some excerpts from the reviewers of the parent portal feature describing how it helps them:

_“The ability for our parents to be able to log in and check their own accounts and transactions is critical in keeping the daycare running smoothly.”_

_“The Parent Portal is a dynamic feature and communication piece for childcare users. It helps keeps parents in the know and updated on all things pertaining to their child, their financial accounts, and school updates. It also helps to decrease the amount of time teachers spending speaking with parents and increases the children's time to learn and play.”_

_“It was critical for me to be able to log into the app and see photos posted of my child, their learning progress and activities. I felt I could be part and enjoy the experience from a parent’s perspective. Great tool to see my child since he was away from me.”_

## 2\. Data security

Data security is critical to daycare software to ensure the confidentiality, integrity, and availability of sensitive information about children, parents, and staff members. Data security measures such as role-based access control (RBAC) restrict access to sensitive information based on users' roles and responsibilities within the daycare center.

Administrators can define user roles, including teacher, parent, and administrator, and assign appropriate access permissions to ensure that specific users can access data related to their tasks.

### What business problem does data security solve?

Daycare centers can safeguard sensitive information such as medical records, contact information, and attendance records, and ensure that it is only accessible to authorized personnel. Here are some business problems the feature helps solve:

- **Protection of children's personal information**: Daycare centers collect and store sensitive personal information about children, including their names, birthdates, medical records, and emergency contacts. Data security features help safeguard this information from unauthorized access or disclosure, ensuring the privacy and safety of the children in their care.

- **Regulatory compliance issues**: Daycare centers are subject to regulations such as the Children's Online Privacy Protection Act (COPPA) and the Health Insurance Portability and Accountability Act (HIPAA) if they handle medical information. Data security features ensure that daycare centers comply with these regulations, avoiding potential fines, penalties, or legal liabilities for non-compliance.

- **Cyberthreats and unauthorized access**: Unauthorized access to daycare center systems or databases can result in data breaches, identity theft, or other security incidents. Data security features such as access controls, encryption, and multi-factor authentication help prevent unauthorized individuals from accessing sensitive information, reducing the risk of security breaches. Data security features such as firewalls, intrusion detection systems, and malware protection help protect against cyber threats, such as ransomware, phishing attacks, and data exfiltration attempts.

### How users benefit from data security

Here are some excerpts from the reviewers of the data security feature describing how it helps them:

_“Keeping photos of students private is essential at an elementary school. We love being able to display the photos at school and enjoy the confidence that they will be safe._

_“Data Security is very important for us. I have never had a problem with parents or children’s information being released or tampered with. I appreciate how efficient data security is.”_

_“The encryption and multi-layered security of this program make me feel safe and secure.”_

## 3\. Communications management

A communications management feature in daycare software facilitates efficient and effective communication between daycare staff, parents, and guardians. The feature often includes a messaging platform that allows daycare staff to send important announcements, updates, reminders, and alerts to parents and guardians. This can include information about upcoming events, schedule changes, emergencies, or general daycare center news.

The feature may also include group communication, allowing daycare staff to send messages or updates to specific groups of parents or guardians based on criteria such as the child's age group, classroom assignment, or program enrollment. This ensures that relevant information reaches the appropriate recipients efficiently.

### What business problem does communications management solve?

Daycare centers can streamline communication between daycare staff, parents, and administrators with a centralized communications management feature for sending and receiving messages, announcements, and updates. Here are some business problems the feature helps solve:

- **Lack of parent engagement**: Engaging parents and guardians in their child's daycare experience can be challenging, especially for busy working parents. A communications management feature provides a convenient platform for parents to communicate with daycare staff, ask questions, provide feedback, and stay informed about their child's activities and progress. This fosters a collaborative relationship between daycare staff and parents, increasing parental engagement.

- **Missing transparency and trust**: Building trust and transparency with parents and guardians is essential for daycare centers. Effective communication through a communications management feature helps daycare centers maintain transparency by informing parents about their child's daily routines, achievements, and any concerns that may arise. This transparency builds trust and confidence in the daycare center's operations and enhances the parent experience.

- **Absent parent-teacher communication**: Effective communication between daycare staff and parents is essential for addressing concerns, sharing feedback, and discussing the child's developmental progress. A communications management feature streamlines parent-teacher communication by providing a centralized platform for scheduling meetings, sharing updates, and exchanging messages, facilitating meaningful and productive interactions between parents and daycare staff.

### How users benefit from communications management

Here are some excerpts from the reviewers of the communications management feature describing how it helps them:

_“Being able to use the child care software to communicate with parents is great for families, teachers, AND administrators. I wish that when you have the option to select a whole room, you could deselect individual children in that room, when I know the message won't apply to them.”_

_“What I love the most about communications management is how easily I can set up a call with the teachers to ask about my child’s immediate well-being as well as set monthly calls to discuss his progress. I think it’s great it runs on mobile as well and I can just check in from anywhere.”_

_“It lets my childcare center effortlessly stay connected with parents, sharing daily updates, photos, and videos of children's activities.”_

## 4\. Student management

The student management feature in daycare software serves as a comprehensive tool for managing all aspects related to the children enrolled in the daycare center. The feature allows daycare centers to enroll new students and manage their registration information easily. This includes capturing essential details, such as the child's name, date of birth, contact information, emergency contacts, medical history, allergies, and any special needs or requirements.

Additionally, the student management feature enables administrators to assign students to specific classrooms or age groups based on factors, such as age, developmental stage, or program preferences. This ensures that students are placed in appropriate environments that meet their needs and developmental milestones.

### What business problem does student management solve?

Daycare providers can use the student management feature to simplify the enrollment process by capturing essential information about students and their families, such as contact details, emergency contacts, medical history, allergies, and any special requirements or preferences. Here are some business problems the feature helps solve:

- **Lack of classroom organization and management**: Daycare centers can find it challenging to assign students to appropriate classrooms or age groups based on their developmental stage, age, or program preferences. A student management feature helps a daycare staff member organize classrooms effectively, ensuring that students are placed in environments that meet their individual needs and optimize learning experiences.

- **Inaccuracies in attendance tracking**: Monitoring student attendance manually can be labor-intensive and prone to errors. A student management feature in a daycare app automates attendance tracking, allowing daycare staff to record check-in and check-out times accurately. This helps ensure the safety and security of students and provides administrators with valuable insights into attendance patterns and trends.

- **Absence of individualized learning and progress tracking**: Each child enrolled in a daycare center has unique developmental needs and learning preferences. A student management feature enables daycare staff to track students' progress, milestones, and achievements over time, facilitating individualized learning experiences and providing valuable insights into each child's growth and development.

### How users benefit from student management

Here are some excerpts from the reviewers of the student management feature describing how it helps them:

_“Managing students is quick and easy. We can pull reports based on service, tags, teacher; each of these help us get a better student flow and understanding of what's happening at the student level.”_

_“From an administrative position I love being able to access all of the ratios for the classrooms in my building on the classroom management dashboard. You are able to go through each photo before they are approved and ensure that the correct children are tagged!”_

_“Student management serves as a cornerstone for efficient record keeping. The system meticulously organizes and updates student data, encompassing personal information, attendance records, and academic performance.”_

## 5\. Daily reports

The daily reports feature in daycare software allows a childcare provider to provide parents with detailed information about their child's activities, behavior, meals, naps, and other important aspects of their day at the daycare center. The feature often includes customizable templates for creating daily reports tailored to the needs of each child and family. These templates may include sections for recording activities, meals, naps, diaper changes, mood, behavior, milestones, and any other relevant information for the daycare provider.

Daily reports also help the daycare staff in documenting and tracking the child's developmental milestones, achievements, and progress over time. This information provides valuable insights into the child's growth and development and can be used to inform educational planning and interventions.

### What business problem do daily reports solve?

By providing detailed daily records, daycare centers demonstrate transparency and accountability to parents. Here are some business problems the feature helps solve:

- **Documentation burden**: Manually maintaining detailed records of each child's daily activities, meals, naps, and behaviors can be time-consuming and prone to errors. The daily reports feature automates documenting each child's daily activities, meals, naps, and behaviors, reducing the burden of manual record-keeping and ensuring accurate and detailed documentation.

- **Increasing parental concerns and inquiries:** Parents often have questions or concerns about their child's well-being and experiences at daycare but may not always have a convenient way to address them. Daily reports allow daycare centers to address concerns or inquiries about a child's well-being and experiences at daycare, facilitating open communication and timely resolution of issues.

- **Reduced staff efficiency**: The daily reports feature provides automated documentation and streamlined communication, improving staff efficiency and productivity. By reducing the time spent on manual record-keeping and communication tasks, daycare staff can focus more on providing high-quality care and education to children.

### How users benefit from daily reports

Here are some excerpts from the reviewers of the daily reports feature describing how it helps them:

_“The "Daily Reports" feature is important because it allows childcare providers and educators to keep parents informed about their child's daily activities and progress. This feature enables childcare providers to easily document and share important information, such as meals, nap times, learning activities, and behavior with parents.”_

_“You get constant notifications throughout the day when anything is posted to your child’s ledger so you are constantly updated! It is also very simple for teachers to add in any detail to the child’s profile.”_

_“The days go by fast and it is hard to remember everything that happened within a child's day. The feed shows; what they ate, when they napped, it even has pictures throughout the day and shows what the child learned that day!”_
