**TL;DR:** _I evaluated vendor pricing pages and verified user reviews for ten top-rated platforms on Capterra's Shortlist to show what buyers pay for_ [_knowledge base software_](https://www.capterra.com/knowledge-base-software/) _in 2026. Entry-level plans average $29.52 a month, mid-tier plans $63.87, and high-end plans $137.86, and most vendors bill per user or per agent._

Pricing models vary widely when choosing a knowledge base system for a company. Some vendors charge per agent, while others bundle a fixed number of users into a flat monthly or annualized rate, and help desk suites price AI features separately from the base plan. This can make the decision on what to pick a crucial one, as selecting the wrong model leaves buyers paying for seats or features they never use or hitting add-on fees they did not plan for.

To build a clearer picture, I studied verified reviews from the knowledge base software category on Capterra and checked the current pricing of top-scoring products on the [Capterra Shortlist for knowledge base software](https://www.capterra.com/knowledge-base-software/shortlist/). This guide explains what buyers need to know to budget for a knowledge base platform.

## How much does knowledge base software cost in 2026?

Knowledge base software starts at $7.15 per user per month and climbs to $289 a month at the high end, with a category-wide average of $77.08 a month across the ten products I checked. Cost scales with the number of users or agents, the plan tier, and add-ons such as AI features.

## How knowledge base software pricing works

Knowledge base vendors price in two main ways: per user or agent, or as a flat rate that includes a set number of users.

| Pricing model | How it scales | Best fit | Watch out for |
| --- | --- | --- | --- |
| Per user or agent | The cost rises with every seat. | Teams with a stable, known headcount | AI add-ons are priced per agent on top of the plan. |
| Flat rate with a user allowance | One price covers a set number of users; once the maximum is reached, a higher tier is necessary. | Growing teams with a high number of occasional contributors | The need for extra users beyond the allowance, and the jump to the next tier. |

## What affects knowledge base software pricing?

Seat count is the primary factor affecting knowledge base software pricing, followed by plan tier, billing cycle, add-ons, and how many hubs or modules you buy.

- **Billing cycle:** Annual plans cost less per month.

- **Plan tier:** Features sit behind higher tiers.

- **AI add-ons:** Some products charge extra for AI functionality. Pricing in this area can also vary: some products charge per AI agent, while others charge for AI sessions outside allocated limits.

- **Hubs and modules:** Some products price functional hubs (such as HR or operations) separately, so each hub you add increases the bill.

- **Contract terms:** Some top tiers are sales-gated and require a quote from the company’s sales team.

## Free plan vs. paid plan: what buyers actually get

Free knowledge base plans cover very small teams usually allowing a handful of users to access the system before having to upgrade to a paid tier.

These plans can also fall short in terms of features too. They usually limit users to the most basic of knowledge management storage, requiring paid tiers to unlock functionality such as automation, analytics and SLA controls.

To compare more no-cost options, browse Capterra's [free knowledge base software](https://www.capterra.com/knowledge-base-software/s/free/) list.

## Hidden costs to budget for

The biggest hidden costs in knowledge base software are AI add-ons, usage packs, and extra users beyond a plan's allowance.

| Cost type | Per-user or per-agent plans | Flat-rate plans |
| --- | --- | --- |
| Extra users beyond the allowance | No (every seat is priced) | Yes |
| AI add-ons and usage packs | Yes | Sometimes |
| Automation and integration packs | Yes | Rare |
| Occasional-user day passes | Yes | Rare |
| Onboarding and migration help | Sometimes | Sometimes |

Tip

Ask each vendor for a quote at your real user count and expected AI usage before you compare plans.

## My take on knowledge base software pricing

Knowledgebase systems don’t often have generalized pricing across the category, with plans differing in terms of cost to user limits and feature access. Seat count and the access controls will often be the real factors affecting which product and plan you choose, and this depends greatly on your business size and focus.

In general our review data suggests that users of knowledgebase software rate value highly overall, although there are many recurring complaints when products have steep tier price jumps or higher costs per user per month/year. This suggests that low entry prices aren’t always a reliable indicator when selecting options, and it is better to consider how your team size expanding or the requirement of advanced features might impact your budget longer term.

## Frequently asked questions

How much does knowledge base software cost?

Knowledge base software costs from $7.15 to $289 a month across the entry-level to high-end tiers I checked, and the average entry-level price is $29.52 a month. Most vendors charge per user or per agent, so total cost scales with team size.

Is there free knowledge base software?

Yes. Connecteam and Confluence offer free plans for up to 10 users, Jira Service Management offers one for up to three agents, Bitrix24 offers one for one to two users, and Odoo offers a free version. Capterra lists more options on its [free knowledge base software](https://www.capterra.com/knowledge-base-software/s/free/) page.

What is the cheapest knowledge base software?

Of the ten products I checked, Confluence has the lowest paid entry price at $7.15 per user per month for 10 users, billed monthly.

Is knowledge base software priced per user?

Mostly. Eight of the ten products charge per user or per agent, while Connecteam and Bitrix24 charge a flat rate that includes a set number of users.

Does annual billing lower the price?

Yes. Freshdesk advertises a 20% saving, Connecteam's entry plan drops from $35 to $29, and LiveAgent's from $19 to $15 per agent.

What does knowledge base software cost beyond the license?

Expect add-ons: AI assistants run $29 to $50 per agent per month on Freshdesk and Zendesk, and usage packs, extra users, and occasional-user passes add to the bill.

Reviews were assessed from October 2024 to October 2026. All ratings and review counts reflect data as of the time of publication.

To determine the category's price ranges and averages, we consider the pricing of products that meet the following criteria:

- Considered products must qualify as knowledge base software by meeting our category definition ("Knowledge Base software is a self-serve online library that enables businesses to provide both customers and teams detailed information about their products, services, topics, or departments"),

- Offer core knowledge base software features, including knowledge management, a self-service portal, and full-text search, and have pricing information publicly available.

- Qualified for the most recent Shortlist for knowledge base software and were highly rated by users.

- Have publicly available pricing information.

We summarized publicly available pricing sources, including vendor websites, as of October 2026, starting with the lowest monthly pricing (excluding annual discounts) for packages that include core functionality for a specific software category; where we could not verify a monthly-billed price in US dollars, we list the annual-billed monthly equivalent and mark it with an asterisk. We list pricing for more advanced packages (per user, when available) that include the core software feature(s) and additional benefits. Your company's needs may differ, and final pricing may vary.

**Editorial independence:** Products are selected and ranked based on an objective methodology. While some vendors may pay Capterra when they receive web traffic or leads, this does not influence our selection or analysis. Review sentiment referenced in this guide's supporting research was drawn from a Capterra review export covering the knowledge base category (approximately 11,100 reviews across 162 products), filtered to the ten products in this guide and analyzed for themes related to pricing and value for money.
