Cutting through maintenance management software reviews is harder than it should be when tools range from simple work order trackers to full CMMS platforms covering asset tracking, preventive maintenance, and facility inspection. Products often target very different industries and operational contexts, which makes it difficult to know whether a review that works for one team will translate to yours.

That is what this list sets out to address. I screened 3,182 verified Capterra reviews of [maintenance management software](https://www.capterra.com/maintenance-management-software/) and applied minimum thresholds for overall rating, ease of use, value for money, and customer support. Products needed at least 20 verified reviews to qualify. Eight products met the criteria: Maintastic, LLumin, Coast, Limble, MaintainX, Fracttal One, UpKeep, and Fiix, representing 2,451 user reviews.

Which CMMS tool is right for you?

I'd start with MaintainX for facility maintenance or Coast for multi-site team coordination. Limble covers preventive maintenance workflows, LLumin works well for asset-intensive industries, and Fracttal One suits field technicians managing mobile work orders. UpKeep and Fiix are worth considering for mobile work order visibility and asset hierarchy management respectively, while Maintastic is a practical fit for industrial and manufacturing maintenance teams.

## What to look for in maintenance management software

Choosing the right CMMS starts with understanding your maintenance workflows, asset complexity, and team structure. Across the reviews I analyzed for this list, these four questions consistently separated the tools that worked well from those that did not.

### Which CMMS tool is right for your maintenance workflows?

Maintenance management software serves a broad range of use cases, from simple work order tracking to full asset lifecycle management. What I found in the reviews is that buyers who struggled often chose a platform built for a different operational context. MaintainX and Coast suit teams needing accessible work order and communication tools. LLumin and Fracttal One suit organizations with more complex asset and field technician requirements. Limble is worth considering if preventive maintenance scheduling is the priority.

### How easy is it for your whole team to use?

For maintenance teams where technicians vary in technical skill, a platform that works without extensive training is essential. I recommend requesting a demo or free trial and testing the mobile experience with your actual team before committing, as mobile functionality received notably mixed feedback across the reviews I analyzed.

### Does it give you the reporting you need?

Reporting is both the most praised and most criticized theme across the reviews I analyzed, which tells me it is an area where maintenance management software varies significantly in depth and flexibility. Before selecting a platform, confirm that the specific reports your team produces, work order completion, asset downtime, or preventive maintenance compliance, are supported natively rather than requiring workarounds.

### What does support look like during and after implementation?

Customer support featured consistently in the pros across these maintenance management software reviews, particularly for organizations implementing a CMMS for the first time. I recommend evaluating the onboarding process and ongoing support availability before committing. Asset maintenance management implementations that involve integrating existing asset data and maintenance histories benefit from strong vendor support from the start.

## How much does maintenance management software cost?

Based on the tools in this list, maintenance management software starts at $20 per user per month, with several tools requiring a vendor quote for custom pricing.

- **Coast and MaintainX** start at $20–25 per user per month and include a free version. UpKeep starts at $20 per user per month and offers a free trial.

- **LLumin and Fiix** start at $45 per user per month. Fiix also offers a free trial.

- **Maintastic, Limble, and Fracttal One** do not publish pricing. Costs vary based on team size, asset count, and feature requirements.

Before committing to any platform, ask each vendor for a full cost estimate covering onboarding, data migration, and any additional fees for users or assets. All pricing was verified against Capterra and vendor websites at time of publication and is subject to change.

## My take: which maintenance management software is right for you?

The right CMMS depends on your maintenance workflows, team size, and operational context. Based on my analysis of 2,451 verified Capterra reviews, here is how I would approach the decision.

- Pick **Maintastic** if your team manages maintenance across industrial or manufacturing equipment and needs a structured ticketing and workflow system.

- Pick **LLumin** if your organization is asset-intensive and needs a platform built around asset tracking and maintenance management.

- Pick **Coast** if your priority is coordinating maintenance across multiple sites with built-in team communication and scheduling tools.

- Pick **Limble** if preventive maintenance workflows are the priority for your team.

- Pick **MaintainX** if you manage a facility and need a platform that links work orders, assets, and team communication in one place.

- Pick **Fracttal One** if your field technicians need to manage and close work orders on-site from a mobile device.

- Pick **UpKeep** if your team needs mobile-first visibility into work orders and assets across your operations.

- Pick **Fiix** if asset hierarchy management and inventory tracking are central to your maintenance operations.
