As a nonprofit manager, you're constantly juggling multiple priorities. Limited budgets, complex fundraising efforts, the need to demonstrate impact, and the pressure to manage operations with limited staff are just some of the many challenges you face daily. [Nonprofit software](https://www.capterra.com/nonprofit-software/) can be a game-changer, offering tools to automate tedious tasks and providing data-driven insights into donor behavior and program effectiveness.

However, to make the right purchase, it is crucial to know the features needed, the average software price, and common challenges faced while purchasing nonprofit software.

Each year, Capterra's advisors speak with thousands of software buyers evaluating new nonprofit software for their businesses. We've pulled insights from those conversations that will help small businesses understand the budget requirements, features, and pain points of current users to find the best tool for their needs.

Key insights

- Software buyers prioritize donor management functionality during purchase, while those using the software currently consider electronic payments as the top priority in nonprofit software.

- Most businesses rely either on third-party tools for their day-to-day operations or do not use any particular method. A small portion of buyers also rely on manual methods for managing their workflows.

- Switching to nonprofit software is driven by the need for efficiency, functional sufficiency, and user-friendliness.

- The top five industries investing in nonprofit software allocate between $10 to $103 per user per month with an overall buyer average of $60 per user per month.

## Prospective buyers and current users prioritize different features

We analyzed thousands of nonprofit software reviews available on Capterra to identify the features that software users consider most critical for their business. Our findings revealed a gap between what potential buyers and current users prioritize.

- Nearly 33% of current software users rate electronic payments as the most essential feature in nonprofit software compared to buyers who are mostly looking for donor management functionality in a nonprofit tool.

- The electronic payment features allow nonprofit organizations to simplify fundraising efforts. These features typically include online donation forms integrated with secure payment gateways, enabling donors to easily contribute using credit cards, debit cards, or other electronic methods.

- Donor management, on the other hand, helps organizations effectively track and cultivate relationships with their supporters. These features typically include tools for storing donor contact information, tracking donation history, segmenting donors based on giving patterns and interests and automating personalized communication.

Pro tip

Look for volunteer management functionality if your organization hosts multiple events throughout the year. This feature can help you manage multiple volunteers, track their workload, and assign them tasks so they can perform efficiently_._

## Current pain points for nonprofit software buyers

When our advisors asked buyers what methods they were currently using to handle their day-to-day nonprofit operations, here's what they found:

- Around 36% of buyers use third-party tools, such as [email marketing](https://www.softwareadvice.com/email-marketing/) and [payment processing platforms](https://www.softwareadvice.com/online-payment/) for their operation workflows.

- Nearly 24% of buyers do not have a system in place and approximately 16% use manual methods, such as pen-and-paper tracking and spreadsheets in their day-to-day operations.

These discussions shed light on businesses' real-life challenges with their existing methods. These included **inefficiency** (40%), **limited functionality** (29%), and **lack of user-friendliness** (10%).

- **Inefficiency:** Third-party tools and manual methods, such as spreadsheets lack integrated features and automation capabilities of dedicated nonprofit software. This leads to fragmented data, increased risk of errors, time-consuming manual data entry, limited reporting capabilities, and difficulty in tracking key metrics. Additionally, these methods often lack the security and compliance features necessary to protect sensitive donor data.

- **Limited feature options:** Generic third-party tools and manual processes lack specialized functionalities such as integrated donor management, online fundraising platforms, automated communications, and robust reporting tools. This limits a nonprofit's ability to effectively track donor relationships, simplify fundraising processes, and gain valuable insights into their data, hindering their overall efficiency and impact.

- **Lack of user-friendliness:** Sometimes, third-party software may have a steep learning curve or not provide an intuitive user interface. Moreover, the lack of responsive help desk support, product documentation, and non-availability of online forms add to the struggle with third-party software. Likewise, spreadsheets can be complex to navigate, especially for those without strong technical skills. They lack the intuitive interfaces and guided workflows found in nonprofit software, making data entry and management more time-consuming and prone to errors.

## Reasons for switching to a dedicated nonprofit software

Compared to the existing methods used by professionals, a dedicated nonprofit software solution offers the following benefits:

- **Specialized features:** Unlike manual methods and third-party tools, dedicated nonprofit software offers specialized features tailored to the sector’s unique needs. These include integrated donor management, online fundraising platforms, automated communication tools, robust reporting and analytics dashboards, and integration with other essential tools, such as event management. This specialized functionality allows nonprofits to manage operations, increase efficiency, gain deeper insights into their data, and ultimately maximize their impact.

- **Scalability:** A dedicated nonprofit software offers scalability by easily adapting to the changing needs of a growing organization. As a nonprofit expands its operations, increases its donor base, or launches new programs, the software can easily accommodate the increased volume of data, user activity, and operational complexity. This scalability ensures that the software remains a valuable asset even as the organization grows, avoiding the limitations and inefficiencies that can arise while using manual methods or generic third-party tools.

- **Enhanced donor relationships:** A dedicated tool enhances donor relationships by enabling personalized communication, tracking donor engagement, and providing an enriched donor experience. The software offers features such as automated communication tools and segmentation capabilities that help nonprofits nurture donor relationships, build loyalty, and increase donor retention. This leads to stronger, more meaningful connections with supporters, ultimately increasing the chances of fundraising success.

- **Improved insights:** As compared to existing methods used by buyers, a dedicated nonprofit system empowers organizations with powerful insights through robust reporting and analytics capabilities. This goes beyond simple data tracking and provides a deep understanding of key areas, such as donor behavior, fundraising performance, and program effectiveness. These insights enable data-driven decision making, allowing nonprofits to allocate resources effectively, improve fundraising strategies, and maximize their impact.

Pro tip

Ensure that the software you purchase has built-in payment processing and accounting functionality to process and record donations, grants, and other financial transactions, reducing the risk of errors and discrepancies. Check with vendors whether such additional features come at extra cost.

## Average budget for nonprofit software buyers across industries

The budget for purchasing nonprofit software varies based on factors such as the organization size, number of users, and the required features and functionalities.

However, the average budget across industries for purchasing nonprofit software was approximately $60 per user, per month.

The chart below highlights the average buyer budget per user, per month (in USD$) for the top five industries interested in nonprofit software.

## Use cases for nonprofit software

Based on our advisors’ interactions, these are the top industries using a nonprofit tool for different use cases:

- **Human service organizations** rely on nonprofit software to manage their complex operations. These organizations require software with features such as case management tools for tracking client interactions, service delivery, and outcomes; volunteer management modules for coordinating and scheduling volunteers; integrated donor management systems for fundraising and donor relationship building; and reporting and analytics capabilities to measure program impact.

- **Faith-based ministries** need nonprofit software to simplify administrative operations, manage finances, and engage with their congregations. Therefore, they may look for features, such as integration with church management platforms, financial management capabilities, communication tools, and fundraising tools in nonprofit software.

- **Associations** typically use nonprofit systems to manage their memberships and enhance communication. They often look for features such as membership management tools for tracking dues, managing renewals, and segmenting members; event management tools for planning and executing conferences, workshops, and other events; communication tools for sending newsletters, announcements, and surveys; and online community platforms for fostering member engagement and collaboration.

- **Arts and cultural businesses** also rely on nonprofit software to manage their diverse operations. They generally look for event management tools in nonprofit software to manage their ticketing, scheduling, and marketing operations. Other feature requirements may include fundraising tools for managing donations and grants; and financial management tools for simplifying accounting and budgeting.

- **Philanthropic foundations** use nonprofit platforms to simplify grantmaking processes, manage relationships with grantees, and ensure compliance with regulatory requirements. They may need grant management tools, along with financial and relationship management tools in a nonprofit system.
