Zapier is the fastest way I know to turn a marketing or sales workflow idea into a live automation. As Head of Growth, I rely on it to keep our acquisition data flowing cleanly between ad platforms, CRMs, and analytics tools without engineering dependency. It's not the cheapest option once you scale, and it's not the deepest for complex enterprise logic, but for speed-to-value and breadth of connectors it's still the default. I'd recommend it to any growth or marketing operator who needs to move quickly — just keep an eye on task usage as you grow.

Pros

Zapier has been the connective tissue of my growth stack. The breadth of integrations is unmatched — I've used it to wire HubSpot to Salesforce, push form submissions into Attio, sync ad lead forms (Meta, LinkedIn, Google) into our CRM in near real-time, and trigger Slack alerts on high-intent activity. The visual Zap builder is genuinely accessible, which means I can spin up a working automation in 10–15 minutes without pulling an engineer in. Multi-step Zaps, Paths (conditional logic), and Formatter are powerful once you understand them, and the recent AI-assisted Zap builder has cut setup time noticeably.

Cons

Pricing scales aggressively as task volume grows. Once you're running enterprise-volume workflows across multiple CRMs and ad platforms, the per-task cost becomes a real line item to defend, and it's easy to blow through your tier without realising it. Some of the deeper integrations are shallower than they appear certain HubSpot and Salesforce actions don't expose every field, which forces workarounds with custom webhooks. Error handling could also be more proactive; you often only notice a broken Zap when downstream data goes missing, rather than getting an immediate alert. For more complex orchestration, I've found tools like Make or n8n more cost-efficient at scale.

Overall, Zapier is a really great platform and has helped us bring most of our ideas to life. If you want a no-hassle drag and drop interface, and have some technical knowledge or know how to map out conditional logic (if this, then that), then this is the platform for you. If you have really complex logic and do not want to have to code and test python and create sub-automations, then look for something like n8n.

Pros

Zapier is one of the more cost-effective automation platforms out there. It is easy to use with a drag and drop interface, and has plenty of documentation to help you automate whatever use case you can imagine (to some extent, of course). Customer support has gotten a lot better over the years and I would like to say is pretty quick in getting issues resolved. I love all the notifications we get with zapier run errors and the ability to see where exactly the hangup is, what it is, and the ability to in-line edit the data and re-run the errored steps to avoid interruptions. I love that I can have a folder structure as complex as I want to store and organize all of our company's zaps.

Cons

Zapier likes to change their interface a lot. Since 2022 when I first started using Zapier here at the company, I cannot tell you the number of times the UI/UX has changed. Sometimes for the better, but other times with changes that I don't like at all. They also do this without notice and with no guided workflow tool to guide you through the updated interface to find what you need. It is sometimes like learning a new software all over again... Not the best. There are also limitations when it comes to decision paths on how many paths you can have and sub-paths. If you have complex use cases, you have to have zaps within zaps (called sub-zaps), which is not ideal and creates additional overhead from an IT perspective.

Ok. Customer service offset what the product offers. I would rather go with a competitor with better customer service.

Pros

I appreciated that Zapier features a clean user interface and was relatively straightforward to configure. We used them for over a year.

Cons

My experience with their customer support was very poor. In particular, an agent named \[sensitive content hidden\] did a subpar job handling our concerns. Their subscription downgrading process is deceptive, giving the impression that your account has been downgraded when the change hasn't actually gone through. The customer service was not willing to acknowledge this issue and address our concerns.

I’d recommend it to other small property management and service businesses that juggle several cloud apps and want automation without hiring a developer or maintaining custom scripts.

Pros

The biggest pros are the huge integration library, the no‑code editor, and the reliability for simple workflows. It’s straightforward to build basic Zaps off common triggers (new email, new row, new form entry, etc.), and we appreciate being able to start from prebuilt templates and then adjust them for our property management use cases. For a lean team, that means we can “hire automation” instead of hiring another admin just to move information between systems.

Cons

On the downside, pricing does ramp up as you add more Zaps and volume, and you have to watch task counts if you’re connecting multiple apps across a growing portfolio. More advanced workflows can also get complex to debug—especially when there are conditional steps or multiple branches—and support/documentation sometimes require a bit of digging when something breaks

I genuinely love using Zapier. It’s the tool I reach for first because it’s reliable, predictable, and doesn’t bury me in unnecessary AI layers. I’ve tried Make and a handful of the newer automation platforms, but Zapier still feels like the most practical option for the way I work. It does exactly what I need without turning every simple workflow into a science project, and that’s why it stays my go-to.

Pros

Zapier connects all my software seamlessly, and once a zap is set up, it runs reliably without much attention from me. I find the platform easy to use, and it saves a ton of time by keeping everything automated in the background. I also appreciate that they’re always adding new integrations, which keeps the tool flexible and useful as my tech stack grows.

Cons

The biggest challenge is that most of my clients struggle with it. Even simple automations feel overwhelming to them, and the interface isn’t very beginner-friendly. When workflows get more advanced, the learning curve becomes even steeper, which means I often have to build or troubleshoot things for them, especially when they become disconnected or need updated.

Overall, I couldn't be happier. I personally have tested most of the competitors, and I am yet to find one that offers as much platform coverage as Zapier does: easy to implement (to a point), easy to deploy, and most importantly, a very reliable and safe platform.

Pros

It mostly definitely has to be the massive amount of integrations available. Any SaaS you can name is available: CRMs, etc. I am yet to come across a platform we needed to integrate with Zapier that wasn't available, which is amazing!

Cons

Although it offers a massive array of available platforms as I mentioned earlier, some platforms surely lack certain triggers and options for certain platforms, even a few big ones, such as Google Sheets, doesn't offer a massive gamma of triggers. Also, data manipulation and API solutions can be complex, even though they are relatively straightforward for simple 2 - 3 step automation, they can become cumbersome once you have multiple steps and several data flows within a single Zap.

Works fine, it's very reliable and if your zaps aren't very complex costs are very reasonable. But nowadays you can get other alternatives, specially for internal use.

Pros

It’s the most well-known app of its kind (now maybe shares this title with N8N). Among that, the app is easy to use, has a HUGE pool of connectors (probably the biggest available) and you can start free (some sources like Facebook Lead Ads require a paid account, but 99% can be used even with the free tier).

Cons

Actual pricing has two different things: Zaps (a "recipe" from app A to app B) and tasks (each action that Zaps make). Pricing is based on TASKS, so if you make complex workflows (like in N8N) it can be very pricey, as each zap can consume a lot of tasks. For simpler zaps, it's very reasonable.

Cons

Unreliability veiled through ease-of-use, and byzantine permissions settings that make it difficult to complete integrations sometimes when paired with 2auth related issues

Pros

My use of Zapier has been limited, but has been significant for what I needed. The broad range of integration capabilities is what makes this service so important. In a world of APIs and the need to have constant integrations, you can't go wrong with Zapier. It is fairly easy to use and their customer support is extremely helpful! Compared to other similar integration services, the cost is also appealing.

Cons

It can be a little confusing if you do not understand API integrations. While they are very easy to work with, it is just a different world for some folks.

Zapier makes it super easy to connect different tools without writing code. Setting up automations is quick, the interface is clear, and it saves us a lot of manual work every week. The variety of integrations is huge, so we rarely run into a tool it doesn’t support.

Cons

Pricing increases quickly when you scale and need multi-step automations. Zapier sometimes updates the way certain steps work without notice, which can break existing Zaps and requires rework. Debugging complex automations can be tricky, and there can be slight delays in running tasks.

Pros

Moving guest data from one system to another is my favorite feature. It allows me to move guest data between our booking engine and PMS automatically without any manual copying.

Cons

The cost can increase if you are going to do complex, multi-step automation. Debugging specific errors when a connection fails is often confusing for people with little or no experience with network technologies.

Setting up Zaps is incredibly straightforward, especially with the help of Copilot, and the testing features are intuitive and user-friendly. Zapier is an online automation platform which we use to connect Wufoo forms with TrackVia. It is great for automating data from one platform to another, so we no longer are required to do manual entries of data from Wufoo to TrackVia.

Pros

Creating a basic Zap in Zapier is quite easy and does not require knowledge on coding for non-technical users.

Cons

Connections are limited with the free plan, so pricing is the issue when you want to do a complex connections like multi step zaps. But as we use another online automation platform we don't really require a paid plan.

What is not to like, Zapier basically is the middle man to automate and connect anything with anything. All done in your sleep once you have set Zaps up work.

Cons

Not super simple to start at first but once you get the hang of it, you can flow through Zaps, the help section is also great and it gives you suggestions to fix any issues you have and work arounds, a really good feature.

Our experiences has been great. Without Zapier, we would have no way to automate our website engagements. We are dealing with hundreds of submissions each year, so that saves us so much time. And that is all because of Zapier.

Pros

My company uses Squarespace for our website and the tracking is very limited. We moved away from Google Suite and there was no way to easily automate form submissions with Microsoft. Zapier helped us to do that. We can fully automate our marketing emails thanks to Zapier connecting our website to Hubspot. It is pretty flexible and offers a lot of features. Also, their updated pricing plan is great and allows much more on the free version.

Cons

It can be tricky to use at times. Setting up form submissions from Squarespace into Hubspot can be tedious if you are inexperienced. And not being able to use Webhooks without a paid plan is a bit frustrating, but understandable.

I think Zapier is a great product. I have been using it for close to a year, and so far I have had no complaints. I like the fact that I can integrate it with apps like Notion and Discord without having to get subscriptions for both apps. The email tips are great, and the available functionalities on the free tier are also impressive.

Pros

I like the simplicity that Zapier offers. The UI is pretty intuitive, and a non-technical person will have no issues understanding it. So far, I have had no technical complaints or issues while using it. I particularly like the fact that it feels like a free-to-use model, as you get pretty much the same value for the free tier as you would for a paid one (more freedom). The security and data management systems are also second to none. I have a few accounts linked to it and have not had any breaches so far. The support team constantly sends tips to help you use the software better.

Cons

The limit on the number of "zaps" and the absence of a pay-as-you-use model for free users bugs me. For the occasional user, the cost of the subscription packages might be a lot, hence the need for a pay-as-you-use model.

I can automate a few tasks that take time to do, such as updating spreadsheets and set up notifications for tasks

I love how flexible it is and how many applications I can use it with. I feel like it not only could be used in the same application many times but also in other software.

It's expensive and sometimes difficult to integrate when I don't understand very clearly how the application can be used.And also the implementation portion.
