### "We love Event Essentials!"

Overall, we had a great experience with Event Essentials. We were not an easy client. Our event is complicated and fast paced, and they built three separate platforms for us in less than five months. All three operated within our expectations during the event. Afterward, we were able to debrief together and share ideas for improvement. Their team is effective, supportive, and willing to put in the effort to create an exceptional product.

Pros

We’ve really enjoyed working with Event Essentials. The service has been great from start to finish. Their platform is highly customizable, which lets us tailor it to our event’s specific needs. It’s also very affordable, especially for the value provided. Overall, it’s a solid product with real potential to grow and improve alongside us.

Cons

Like any new partnership, there were some first-year growing pains as we learned the system and worked through a few adjustments. That said, the team was always very responsive to our needs and quick to address questions or concerns. We appreciated their willingness to listen and improve along the way.

Craig and Kiffen are a good team, they understand events and can tailor their system to anyone, we are a good example of that. They took on our weekly event, which was challenging, and were successful in creating a system that our vendors love.

Pros

This company worked well with our unique event and tailored a system for us. They took the time to learn about us, came out to see our event and talk to staff. It was very personalized service and worked with our budget as well. They care, they're patient and are really nice people too, that helps when you're trying to do something new.

Cons

Our event is pretty unique, and weekly, there were a few things that had to be created from scratch and took more time than we anticipated, but they communicated along the way so at least we understood any delays. In fairness we were also still operating during the whole process of creating our new vendor system and onboarding all of our vendors, which added additional hurdles.

Pros

They only good thing about Event Essentials was the price; they were very affordable and during the sales process, it was easy to communicate with the sales managers.

Cons

Literally everything else. When we signed our contract, we had a very long list of things that we were told would be able to be implemented and customized. As soon as we signed on, everything went dark as far as communication went. We went multiple weeks without updates, sometimes months. While things were made and created, almost nothing worked as we expected it to. We were told that it was because "we were on the old system" but never offered a chance to upgrade to a new system. Critical updates and deadlines were missed frequently by our account representatives to the point that we had to move to an entirely different event management company because the system was not functional for us. Truly a disappointment, because Event Essentials had such great potential; they overpromised and vastly underdelivered.

Reason for choosing Event Essentials

I chose them initially because we liked the price. Unfortunately, we had a terrible experience and had to move mid-event planning year to another company entirely without any fulfillment of our regular contract.

Craig has been a fantastic liaison, metaphorically holding our hands through the launch, and checking in as we add new features to the system. The actual system works well, and any bugs we find are addressed in a timely manner.

Pros

This is a great customizable platform that can has been shaped to meet the organization's needs for producing our weekly event.

Cons

Like working with any 3rd party contractor, the client must keep up communications and updates to move forward with projects. You're not their only client, so do your part to keep up the momentum.

### "Customizing a flexible event management platform"

Our experience has been very good. Custom configuring a management system like ours is not for the feint of heart. Nor does it happen overnight. I think the EE team underestimated the complexity of our business process. We worked through that. I think a stronger guiding hand from EE's project manager would have helped us better organize ourselves. However, I commend their dedication and follow through because in the end, we have what we envisioned.

Pros

Event Essentials enabled us to take an existing event management platform and configure it to our specific and quite unique needs. The flexibility of their platform is amazing. The EE team configured the system to accommodate our workflow. No more work-arounds. And that is a huge plus. The other farmers market management platforms were not able to be as responsive to customization. Interface is important to me and Event Essentials is quite good. Search and filtering are robust and snappy making it easy to view data as desired. Organizing content under a tab system is very helpful and essentially provides pre-filtered data sets. They have a robust Portal allowing our market vendors to access their accounts, view their applications, their registrations, email history and soon, invoices and payments. Vendors may initiate changes through their portal. And, the system has customized email notification that are associated with specific actions confirming status to vendors and notifying our staff action is required. We develop and manages about 15 seasonal farmers markets. We needed to integrate our management system tying together the two primary functional areas of our company -- Vendor sales & management and Market Operations management. We deal with a large amount of data and lots of moving parts. We needed to integrate a robust daily market reporting system. We needed a robust reporting system with great filters. Event Essentials is doing this for us

Cons

There a couple of things that could be better. We do a fair amount of data entry in the field and the display on smaller screens, i.e. iPad Mini's needs some attention. I suspect the EE team will work this out at some point. It is important to us to be able to self manage some back end features. Currently they are giving us that ability incrementally which is probably a good thing. It would be helpful to be able to create report templates, update more text areas, ourselves. That too, I think come in time.

Reason for choosing Event Essentials

The other products were less open to configuring to our needs. They were crowd sourcing their road map mostly for smaller markets. We were an outlier for them. Event Essentials committed to configuring their systems specifically for our business process.

Cvent is a robust platform but we had to do significant work-arounds to get where we needed to be. They did a fine job when there were fewer other options available. The work-arounds became tiresome and there was lots of unneeded functionality that we were paying for. Even Essentials gives us what we need so it's way more streamlined.

As a booking coordinator I work with a lot of people and have many things going on in one business day. Before Event Essentials, I was tracking down payments and doing my best to work around outdated map layout and a series of opened windows. Now with Event Essentials, everything is available in one location, and my attention has shifted from the juggling/chasing act to our clients and their experiences at our venue. The system is frequently updated and the Event Essential's team make us feel like our experience is important to them.

Pros

Event Essentials is clean, clear, and quick enough to keep up with all of our weekly demands. We move many things around internally and having an accessible trail and a well buttoned system has been amazing. The features are customizable, and we look forward to progressing with Event Essentials.

Cons

The system will only deliver what is being asked of it. Having a good set of asks and functions listed beforehand can make for optimal user experience. Don't worry if you are not sure what you will need, the team will work with you to get you there, but it may take them longer.

I have really enjoyed working with Event Essentials. They have taken the time to get to know our needs and modified their based products to develop a custom solution that meets our needs. They are

Pros

The main thing I love about this product is how it can be, and has been, customized to meet our needs. I love the ability to automatically have vendor bios (business name, contact information, description of services and products, and a photo) to be automatically posted to a web page once we approve the vendor. I really like the easy to use interface to view and manage vendors. I can quickly find vendors, view their status, make changes and approve or reject them. Our vendors love the "Returning Exhibitor" feature that allows the vendor to submit an application using most of the data they entered on their prior application. This saves them a lot of time.

Cons

The system does not (currently) allow vendors to make changes to content. This requires us to make changes on their behalf. Fortunately, this is not difficult to do.

HTML. Lots of useful tools, great customer service. Nice reports, ticket sales by type/coupon code, etc. Additional options to manage workers, vendors, sponsors. Built in safeguards to prevent costly mistakes. Can use your companies own credit services. Ticket fee revenue sharing. You keep all the data.

Cons

No custom-field reports, must be requested through customer service. Time for auto sign out really short. Seemed like 15 minutes or so.

Event essentials has been great for allowing us to fully automate our online ticketing, while giving us fully flexible ticketing options as well as a way to manage the sign up and tracking of a variety of different vendors and competition groups at our event. Going from a manual method to online database management also allows us to retain customer information for future events, and get an accurate assessment of our advertising campaigns and the value of our ticket options.

Pros

In my third year in running this event, we brought on Event Essentials. The amount of volunteer hours their software has freed up has given flexibility back to our organization, and made efficiencies possible that we once only dreamed of. Automating portions of our event that have been done by hand for over four decades, has created a sea change in how we are getting the job done. I am so grateful we partnered with the Event Essentials team.

Cons

My biggest disappointment was that we didn't get started sooner. I am already looking forward to next year's event knowing we have these tools at our disposal from day one.

This is a great company to work with. We definitely recommend them if you have ticketing needs.

Pros

Easy to use with an intuitive user interface. Once we got a little training on it we found the system to be powerful and just what we needed. We were able to generate new discount codes quickly which was important for selling tickets to our event.

Cons

A few features have to be set up by the team and aren't available to do yourself through the admin area. But they are really quick to get it set up for you when you request it and they are working on making those features accessible from the admin area soon.

If it weren't for Event Essentials professionalism and expertise, our event would have suffered the pains of our past years with slow attendee registration and processing through the event gates. Because of their ability to quickly process our guests, we had little to no lines and hundreds of people got through and processed in minutes! It was the most organized front end we have had yet. Preevent support to help promote and sell tickets was the other luxury we had with their broad and deep knowledge of promoting successful events. Prior to our event, Event Essentials personnel were always there to answer our questions and update our online ticket information as it changed. The Festival website gave us all the data we needed to follow-up and answer customer's questions about the tickets they had purchased. The volunteers running the POS system had no problems learning the system and with an Event Essentials tech on-the-spot we were never left to our own devices.

Switching to a brand new event management system was a very difficult decision but a necessary one. We outgrew our prior software and a change was needed. After much research and discussions, Event Essentials seemed to be the best fit across the board. We're approx six-months in now post launch and we DEF made the right choice!

Pros

\[sensitive content hidden\] & \[sensitive content hidden\] were/are so easy to work with and both worked very diligently to get the system to where we needed it to be. I'm still amazed at how customizable they were able to make it to fit our needs and were truly invested in our success. Our team did put in a lot of time and effort in giving very clear instructions and direction to both \[sensitive content hidden\] & \[sensitive content hidden\] in the creation of the system. Lines of communication were also quick and efficient on both sides.

Cons

It's not really a reflection of Event Essentials as I'm sure with any transition period there will be issues and bugs to work out. All in all looking back, not too many and although stressful at times, we got through it!
