“Their Business model -- purchase the product, they give you 15 hrs free education, then once that is used up you get charged exorbitant fees or referred to their affiliates, one that I was referred to had no idea and the templates were multi coloured font colours, then referred to another who was an "owner" of Actionstep... once I identified their business model ... signing everyone up, limited contact support, and the assistance you get is so generic, that eventually forces you to sign up to the outsiders that are actually insiders.“

We are able to increase efficiency & deliver better value to our clients because we have built automated tasks, checklists, templates, data collection, and deadlines at every step of the process. We know in advance which team member will complete the tasks, and we have peace of mind that nobody will miss anything. We can gather data about our files and make decisions based on real insight into our firm, rather than gut-based guesswork.

Pros

Actionstep allows you to build custom workflows that you can use to manage any aspect of your practice. We believe in workflows so much that we dedicated an entire podcast episode discussing our experience with another lawyer obsessed with workflows too. We have over 50 workflows that help us to structure processes within our tax-litigation files, as well as for administrative matters, such as asking for client testimonials. We give our team peace of mind that nobody will miss anything as we have built in automated tasks, templates, checklists, and deadlines at every step of the process. We can make sure that the most appropriate team member performs each task. The workflows are also a great resource to help train new team members because we created detailed descriptions of how to complete each task with links to our internal knowledge base to give team members additional support where needed. In addition to custom workflows, Actionstep also allows you to gather custom data so that we can make more informed decisions.

Cons

Actionstep is unique and sophisticated. However, Actionstep falls behind its competitors and is underdeveloped in some key areas, such as budgeting capabilities, template user experience, graphical displays, mobile applications, and reports. Prospective users should not underestimate the commitment and resources required to build workflows and implement Actionstep. Building workflows requires time, money and, most importantly, grit. Not everyone is ready to make this investment in the future of their firm. Although you can outsource the technology aspect of inputting the workflows to the system, you need people within your firm identifying the steps and tasks that you want to build into the system. We are a very process-driven law firm with a lean focus, so Actionstep is perfect for us, but if you aren't familiar with process mapping it can be a daunting task. When you get over the initial investment of mapping your processes, you will see first-hand how quickly Actionstep improves your firm's ability to grow and deliver better value to your clients. We hope that Actionstep will continue to develop its product to address its limitations and bugs. Actionstep has promised that it is working to address the concerns that our firm and other users raise in the LinkedIn user forum and UserVoice feedback. We hope that Actionstep continues to improve the product, and we look forward to more progress. If so, we expect to continue to use Actionstep for a very long time.

### "Actionstep Workflows"

We were using a very archaic system with Time Matters. Since Actionstep is completely cloud base and accessed via a browser we were able to deploy it to all our remote locations without the need of installing and maintaining software. It was the best move we ever made.

Pros

Actionstep automates task and reporting. Having the ability to customize it via workflows is a huge advantage for us. We also use the document merge features very heavily.

Cons

The home screen dashboard can use some design updates with relevant information.

Unfortunately, the customer service is not up to par of that of our previous software, expect to receive a response from their support team 24-48 hours after you have contacted them. They have never answered the phone when I've called for immediate support, so I've stop trying this and just email even though i feel like for the amount we are paying we should be receiving quicker support.

Pros

We like the matter dashboard a lot and it's probably the firms favorite feature since all the most important information is readily available.

Cons

INTEGRATIONS: If you're looking to switch to AS because of the integrations they offer make sure they actually work exactly how you intend them to. Lawpay: If you use lawpay their integration is useless since it only grabs new charges and does not include any past due amounts. I brought this up because we really wanted this to function, but we were told they would not fix the issue. InfoTrack - One of the reasons we switched to AS and they don't actually integrate in US, even though their website states they do... Outlook - The bottom bar of the desktop version may not bill the correct amount. I asked for this to be fixed since it's easier to use this bar than the right bar they have, but it's been over 9 months... BILLING: If you close your billing at the end of the month be prepared to manually enter Trust payments to allocate the funds on the closing date and not for the next billing cycle, since the automated billing will automatically post these payments on the date you are running them, not on the date which you wish will be allocated. Another feature I have brought up, but essentially fell on deaf ears. If you work with probate matters where you don't bill your time, so you input a $0 amount, and you have matters that weren't worked on for the month, you cannot filter out between the two, so you'll end up printing bills for all matters. This is something i asked to have fixed in July 2021 and have yet to hear back regarding a fix (3/3/22)

Pros

I use this for my estate planning, probate, and elder law practice. The system has built in workflows, which I appreciate, and it grows with my firm. I like the client portal very much and the way I can track documents that I share with my clients and vice versa. Very easy to track my paralegal's work as well.

Cons

It does take time to learn and customize. Even with all that I use, I am not using it to its fullest capacity.

### "Catastrophic customer service and lack of common sense - too bad, it's a promising software "

Given these problems, we are preparing our exit. It is an economic disaster for us (losses in implementation and losses on invoicing).

Pros

Powerful and easily editable workflow engine. Really. Mass billing features. Customizable fields. Extremely powerful templating.

Cons

Bugs in invoicing and accounting made me lose a lot of money. Despite corrections, some invoices do not appear at the customer level and we work in files with open balances. It's very stressful, too. Money flows are case centred, not customer centred. This is highly problematic (retainers go on a case and not on the client, so you have to open X tabs for X cases opened in this client to make sure you are not going to send an invoice to a client who has provisioned you...). User acceptance is difficult. It is complicated to require changes in workflows and field fills (this is not the responsibility of Actionstep, but don't think it will run by itself. You will need to coach your employees). Customer service is catastrophic. I screamed for help when the system started to double-deduct (!) the retainers. It took 4 months to get a solution. In the meantime, I have continued to lose a lot of money. I have doubts about their financial strength, since six months after I started using the software, I received a notice of license increase. When I asked for some help to switch to a cheaper license, I was told that it would not be possible to keep my data (!!!!).

### "Hopeless Customer Service - Technical Staff not technical - Accounts do not work"

Poor experience. The salespeople were nice and I believe genuine. The techo people are not trained in real technical problems and use the excuse of putting something to the 'development' team. I am not sure the development team exists. Am on hold now for 25 minutes while I wait for someone with a small understanding to talk to me.

Pros

The system is a great concept. Great robust software that, if working properly, would allow practitioners to set up what they want by way of workflows and templates for each practice area.

Cons

My accounts simply do not work. I cannot bill clients. I cannot receipt monies. I do not have an 'accounts' menu. The software has bugs and Actionstep are incapable of fixing them.

Reason for choosing Actionstep

The versatility and third party apps that were promised with Actionstep made it a long term robust solution. The issue is that the promises are not real.

The overall efficiencies of the product are brilliant. Increasing productivity of fee earners and support staff.

Pros

That its online. That its simple (mostly) to use. That parts of it are customisable. The support.

Cons

The trust administration functionality isn't the best. Infinity was much better!!!

### "Best switch our office could have made"

The only con is the lack of an integration between Actionstep and Adobe software.

### "You receive what you give"

Pros

Almost all of our working processes have moved into Actionstep, with some changes and pruning along the way. Setting up the system takes a lot of thought and input, but you are rewarded for your efforts, as once your data is in place, it's very easy to manage and use. I particularly like the amount of customization that is possible - as well as the regular product updates, which add interesting features.

Cons

It can be difficult to use data for reports, where some data does not interact usually within the system. It's necessary on our end to use other software to review statistics and to report. Exporting the data in order to facilitate this is very easy, however.

Overall I recommend ActionStep to other law firms. It has vastly improved our office workflow, and the various customizable features enable our employees to address clients' needs more efficiently. The ActionStep support staff are accessible and responsive to any challenges we face, whether they involve addressing problems or learning how to implement new features. What we love: - Workflows that are customized for different types of cases - Customized tasks that are automatically assigned to particular employees - Case dashboard: the "one stop shop" for all basic info related to a case (employees involved, clients, other important players in the case, calendar appointments, notes, etc.) - Contact records that exist independently of cases but may be linked to cases -- so updating a contact applies changes across the board - Newsfeed-style case notes with tag options to identify notes as "important," "call," etc. - Document folders with powerful search feature to easily locate documents - Integration with MS Office (Word, Excel, Power Point, Outlook) that allows case data to be merged into documents and e-mails and allows users to assign e-mails to cases - Ability to create letter and other document templates that pre-populate cases - Document portal that allows clients and other parties to securely exchange documents with the firm - Fantastic support staff and easy-to-follow tutorials The most challenging aspect of ActionStep is the initial setup (hence my three-star rating for "ease of use"). There is no sugar-coating it: the downside of all those wonderful customizable features is that someone in your organization has to do all the customizing. It's a lengthy process, and the initial data migration can also be time-consuming, but the friendly support staff are available to assist throughout the process. For us the end result has been well worth the challenging setup process. The ActionStep developers are constantly working on improvements to the program, including ways to make it integrate with other types of software and responding to users' suggestions. Occasionally the updates cause hiccups in the system, but they are typically short-lived. We genuinely appreciate the drive to improve the product and the responsiveness to users' wishes.

### "Unethical Price Increase"

Satisfactory until recently. Support has been pretty poor at times.

Pros

It works, although aspects of the accounting side are a little clunky and some of the field names (for example in contacts) are inappropriate.

Cons

When I signed up to Actionstep it was about AUD $80 per user per month. The price steadily increased over the next 5 years. Currently it is about AUD $135 per user. Then suddenly I am told that the minimum monthly charge will be $469, which is for up to 3 users - there is no option for just 1 user. Yet the website still advertises the pricing as being "per user", which is clearly misleading. I have tried to speak to someone at Actionstep about this situation but have been ignored. Clearly they are no longer interested in sole practitioners. I regard a price increase of over 300% on 6 weeks notice to be very poor business practice, as is their failure to note that their minimum package is for 3 users in the pricing part of their website. I now have to find another provider of a similar service which is time consuming and disruptive.

Originally, because it was sufficient and significantly cheaper than alternatives. It no longer is.

Was such a standout performer for a small firm. Loved all the functionality but the recent increase in costs is disappointing. I recommended this product to other firms and spoke so highly of this software. Their target customer/client may have changed.

Pros

Very user friendly and suited my firm perfectly. The time recording and accounting were great to use. There were always improvements, most didn't relate to my firm's needs but so good to see. Loved the product.

Cons

The recent increase in fees. It appears that this will not be viable to small firms. An increase in fees is always expected by not by 300-400% in the one year. Customer service has gone downhill with its growth which appears common in software companies.

Main features looked good enough, but without the ability to charge 2 sales taxes this was a non-starter for me.

Pros

The automation is fantastic. Once you learn how to use the triggers and actions effectively you can run a much smoother operation.

Cons

No option for 2 sales taxes, which is essential in my jurisdiction.

### "Just Okay"

Pros

This was my first practice management software. I liked the price and the ease of the setup. Since this was my first experience, I don't have anything to compare it to.

Cons

Sometimes the software has glitches and looses things like notes that you put on the scratch pad. If there are multiple windows open with the program, it doesn't always save the information that you enter on one page. Customer service is absolutely terrible. There aren't clear cut customer service hours and I can NEVER reach anyone by phone. If I'm lucky I will get a response via chat a few days later. I am looking to make a change.

I wanted an all inclusive system that included the accounting function. Actionstep was one of the programs that offered that feature. Additionally the price was manageable; they have since gone up on their pricing.

We've been able to somewhat streamline our practice administration, and we like how all case information can be contained in one place

e-mail integration is easy and seamless highly customizable excellent document management

Cons

steep learning curve weak online training materials requires a consultant to truly make it work our version does not yet sync with Quickbooks

We thought the e-mail integration with Actionstep was superior, and like the ability to customize workflows. Implementation has been more time consuming than I'd hoped, however.

### "Watch out for this company"

Pros

Works on Mac. Functions well most of the time.

Cons

Annual subscription went from $1,306.80 in 2023 to $5,794.80 in 2024 - that's 450% in 1 year. An absolute joke! For a sole practitioner it's unaffordable. Have been using the platform since 2018 and the entire practice is structured around Actionstep - trust accounting, bank accounts, Xero and all clients. To migrate to another platform will cost a fortune. They've baited customers at a low price, then taken advantage of them. Also, terrible customer support.

### "Great for law office"

Pros

It was easy to integrate and allows all team members to access all information from anywhere with an internet connection. Including file notes, emails and documents as well as time records. You can set tasks and monitor the step a matter is on with ease.

Cons

Integration with Outlook is good but not able to upload documents or attach documents if using Office 365

### "Legal Asst opinion"

Before ActionStep, our office was using DropBox as our inter-office storage, which was not very reliable for record keeping. We needed everything to be in ONE place and ActionStep has solved that issue. Our office has been using ActionStep for about 3 years now & I personally love it. It's easy to customize.

Pros

What I like most about the software is that everything is in one place - past & present records, notes, time tracking & billing, tasks, etc. I find the File Notes feature EXTREMELY useful because myself AND any of my co-workers can create a File Note for record keeping when we speak to the client or need to keep current notes on a project. ActionStep is also very easy to customize.

Cons

It is difficult for me to find something that I dislike about this software. The only opinion I can offer is what I hear from our office book keeper - she dislikes the billing feature because it is not compatible with her Quik Books.

### "Love this Legal Practice Management Software"

Everyone in our uses Actionstep daily - from saving emails to a matter to organizing documents in folders, to linking appointments in the calendar, to emailing bills and tracking unbilled or unpaid items.

Pros

This software is intuitive and easy to use. It is logical, very organized and user friendly - similar to using an app on your phone. The calendar is great too! This is miles above any other legal software I have used.

Cons

I wish the developers would figure out a way to import contact addresses to correspondence. Also, the accounting software can be a little cumbersome and has a learning curve.

Pros

ActionStep is easy to use and maintain as a central portal for keeping up with client files and work between staff.

Cons

I wish the software had better search functions including an ability to look up contacts by phone number.

Reason for choosing Actionstep

I like the dashboard feature the best.

### "Customizable"

I do like the billing feature and being able to see who needs to be invoiced.

Pros

I like that it keeps all of our records easily accessible without having to pull each file.

Cons

It is so customizable it makes it hard to set up and use the software. I had to watch several hours of videos to design one matter type and invoice. I also wish that the HOME section of each matter had "sticky note" capability.

Reason for choosing Actionstep

We chose Actionstep because others were using it in this firm and we wanted to be able to have a 1 stop place for information for ease of conflict checking.

### "Excellent Practice Management Tool"

I believe this is one of the best practice management programs available at a reasonable cost.

Pros

I have found that the combination of file management, ticklers, calendar and ability to operate across the law firm by our users was very helpful

Cons

As an Internet cloud-based program it is subject to the rims of the various Internet providers use across the firm. That being said, in four years I have only had one problem which lasted more than half a day, and it was probably addressed by customer service
