### "Super Flexible Grantmaking System"

We have been able to streamline our operations considerably with Fluxx, so that our standard workflow can be operated by one person, and the quality of the generated reports taken to our Board is exceptional. The flexibility is so great that it can be a challenge to know when to stop refining processes! Having got to this stage, however, it means we can concentrate more on higher-level concerns like outcome reporting, equity issues, and community engagement.

Pros

The positive experience started from the beginning: the onboarding process. The onboarding team helped guide us through organising all the exported data from our old system and mapping it into the new structure. I learned that there is no "default" setup - everything was set up from scratch to match our desired workflow and existing data. As we have grown and needed to make changes to our grants programmes, we have customised Fluxx more and more to our particular needs. The majority of this we have been able to do ourselves or with the help of the active and helpful Fluxx community from around the world. There is a huge amount of knowledge and goodwill on the Fluxx community forum, there are local user groups, and an annual Fluxxcon conference. The Fluxx community is well supported by the company (dedicated member of staff) and by far the quickest way to get help when needed. Fluxx's Advanced Services team are available to take on bigger customisation projects, but we have not needed to use them (yet). Another stand-out for me about the product is that you can modify the system using (limited) lower-level coding in a reporting language called Liquid HTML, and its underlying language Ruby. This opens up possibilities for incredible customisation of reporting, workflow, external data access, and processing.

Cons

From the beginning I realised "there is no manual". Yes, there is documentation within the help-desk system and this is growing over time, but it tends to be task-based rather than actually describing the interface and what everything does. Support is sketchy at times. There is often better information and help from the rest of the global community than from the Helpdesk; over time, too many of my bug reports have gotten stuck at "With Engineering" and not resolved. Offsetting the support issues is the way that Fluxx provides levels of certification for users and admins, though online courses. These appear to be valuable conduits for product knowledge and good practice. Recently, Fluxx has locked down some of the things that we used to be allowed to do with Ruby programming within the system. Thankfully, they listened to users' voices and have allowed some more flexibility than they were planning, but the net effect has been that it takes some more time and effort to learn the programming environment and to implement features using it. The cost is quite considerable, about 1.5% of our granting budget. This could be prohibitive for grant-makers smaller than we are. We feel we get good value for this.

### "We've adopted the product and some of the staff!"

At onset the pacing of the onboarding process was set well, and the team was very accommodating. The staff building the product frequently answering questions and willing to 'tinker' to service the need of our organization and the uniquities of having our membership agencies as grantees. During the initial testing process, we felt like we could have benefited from more guided instructions (we don't know what we don't know) and perceived that we needed more time during refinement as we had a different perspective/ understanding of how the system worked and needed to make the necessary adjustments. However, our team felt rushed by project management at times to complete the project ahead of schedule - but during meetings expectations/priorities were clearly discussed and interim meetings were held (in-between standing meetings) to ensure the quality of the product.

Pros

The customization of platform is a highlight and the willingness of the team to provide a product that best fit our needs. There was a team effort to onboard our staff. Each person was knowledgeable about their particular area and was incredibly helpful.

Cons

There are some quirks about the platform like, when printing a pdf the text in the blue box is black and difficult to read and the font color for a signal message is very light on the grantee dashboard side.

My team is liking Fluxx overall so far. As the person overseeing its setup, we are still rolling out the system and the jury is still out on if purchasing the system will be worth it or not.

Pros

Fluxx is highly configurable. You can set it up in so many ways.

Cons

I purchased this software needing a budget management system. After months of research and testing (and being told by the marketing team), I believed it would meet our needs. Now that we are in the system, I see that the budget management aspect of the system is not configurable (although everything else in Fluxx is) and is badly built. I wouldn't recommend this product for anyone looking for budget management until they make some fixes.

Pros

Fluxx is extremely adaptable to our program's unique needs. Our grantees and grant reviewers have both shared that they find the platform to be extremely intuitive and user friendly. Fluxx's implementation team takes the time to learn each organization's program, and doesn't stop until it's right.

Cons

For the administrator, Fluxx has a steeper learning curve. Making changes to the site or a grant application sometimes involves liquid code and can be cumbersome and lead to errors.

It has had its challenging moments but overall, the experience was good.

Pros

So far it is moving our old-school system of paper to an online system. It is allowing us to expand and reach more people and keep all the grantmaking information in one location.

Cons

The system itself has nice features and is fairly intuitive. I do think some features can be improved. The system itself is good, but I think that the sales team and the implementation team need to have better communications on what is possible in the system and exactly what it looks like to relay to potential customers. I think that even having implementation experts on sales phone calls with serious, potential customers is necessary. Sales gave me high expectations on what was capable in the system for the splitting of our foundation and scholarship programs, which are from completely separate entities. However, reality was different and it was frustrating for me and my team, but im sure also frustrating and challenging for those helping implement our product. Plus, sales didn't seem to realize the scope of our needs or ask the right questions initially. The implementation specialists realized the scope of our needs fairly quickly, and realized how different some needs were compared to what everyone initially thought, leading to a change order. I know all companies struggle with this to some degree, but it would be my biggest recommendation for company improvement for more satisfied customers. If we had not had the complexity of these two separate entities using the same software, the implementation would have been a total breeze for the foundation.

The ability for the foundation and the scholarship programs (two separate business entities) to use the same software and the same features/functionality at the price initially quoted to me was better than the features/functionalities/price from other products. And other products sometimes required each entity to use a separate product, which nearly doubled the cost.

Overall very satisfied and would recommend to other organizations, but I still feel as though I'm just scratching the surface of what the system can do and figuring out things on my own that it would have been nice to be shown. Again, that's not to imply the implementation team didn't show me everything they could in the time we had. \[sensitive content hidden\] was spectacular, but he spent a long time building the system and answering questions and I would appreciate similar access to someone to bounce ideas off of as we iterate.

Pros

Our implementation lead (\[sensitive content hidden\]) was a joy to work with. He was very responsive and always able to understand our unique needs, working with me to come up with solutions to multiple idiosyncratic things about our process. The system is very user-friendly for grantees, and our employees are so far able to pick up their roles pretty quickly as well.

Cons

The training videos are utterly atrocious. Overwhelmingly long, boring, and maybe it's me, but they don't seem to help much if I have questions about how to actually do something. I also would appreciate more ongoing check-ins and support; I felt like I went from weekly meetings during implementation (which were super helpful but in no way could have really covered all possible scenarios) to no guidance at all and it's been a little overwhelming. The community and knowledge base are helpful resources, but sometimes a little too hard to narrow down. Sometimes when I open support tickets, it's obvious from the response that my initial message wasn't read thoroughly.

### "Excellent Choice!"

My overall experience with Fluxx Grantmaker is a positive one. I love the Fluxx Community and the opportunities to network and learn. I like that they are open to users contributing to product ideas and having a say in future product development. As the grants manager, I am currently looking at ways to optimize our Fluxx instance. We recently received a 'site scan' through our customer success team and the chief development officer. We received a performance audit of our instance, a general facelift of our user interface, and received recommendations for improvements. It is opportunities such as this, to collaborate with Fluxx, that I appreciate.

Pros

The most exciting thing about Fluxx is the user interface. I've been using this system for about seven years and still get excited every time I log in. Fluxx is easy to use, customizable, mostly configurable, and has tons of features and available integrations to tap into.

Cons

I do not like the ad-hoc report feature. I wish there was a simpler way to identify and add fields to reports; 'hunting and pecking' for the fields you need is a time waster. I also don't like that product update releases sometimes 'break' something that was working before the release and then have to wait for customer support to fix it.

Fluxx was customizable, which was important to us because of the limitations of our grantmaking and our processes. It also had a user-friendly interface.

### "Good grnt management tool but steep learning curve"

Mostly positive. There is a great community that provide a lot of support and help in getting to learn the product. The product itself is very flexible and offer a lot of possibilities to custom it so that it fits our needs. However, it requires some time and energy to learn how to administrate it properly, especially when you are a small team (like ours)

There is a steep learning curve. In addition, it is sometime necessary to re-adjust some settings after an product update release, which might be frustrating

Pros

What I like most about Fluxx is that changes to the live process or forms can be made on-the-fly. This is very helpful for us as a new foundation still iterating on really everything to do with our grantmaking cycle. Another thing I like is that the company really does listen to its user community, incorporating our ideas into their updates.

Cons

What I like least aboutFluxx is that it's capability is deep, but there isn't a good way to tap into all that is available. When we set up the system, the implementation folks map the Fluxx system to your current process without really sharing what is available/possible. So now that we are changing our processes, there could be features that we could use but we don't even know what is available. Also, there is a lot that can be done with liquid code, but if you aren't fluent in liquid, there really aren't any resources to help except for other users who are busy with their own jobs.

Pros

Fluxx is incredibly customizable. We were able to build and implement grant processes that reflect our values and the desired relationship we want to create with grantees and applicants, rather than needing to create workarounds based on an out-of-the-box or one-size-fits-all system. The connected data structure mirrors the relationship-oriented way we work and makes it very easy for members of our staff to move through the network of grantees and applications. Complex reporting tools are available and there are many features and integrations to experiment with and refine our processes so it can improve from year to year. Additionally, there is a strong Fluxx community to rely on with questions about those features or ways of maximizing the impact of Fluxx.

Cons

Shifting from an out-of-the-box GMS to Fluxx meant that we weren't prepared for the amount of work it would be to set up, build, and maintain Fluxx. Some back end tools like document and email templates require strong knowledge of liquid code. Staff members who are not fluent in Fluxx can't design their own reports, for example, because of how complex reporting in Fluxx is (the knowledge of backend field names is required, as well as understanding the relationships between models). Operating Fluxx, though it results in strong report, a flexible workflow, and lots of customization, is a heavier lift for the grants team and required new staff hires with past Fluxx experience. Additionally, the support team, though thoughtful and helpful in the moments when something goes wrong, is not available to brainstorm solutions, just solve problems. It would be helpful to be able to consult with someone inside of Fluxx when we have questions about new features or tools that could benefit us, rather than needing to seek that out from the community or pay for an additional contract.

My overall experience with Fluxx Grantmaker has been positive, especially when it comes to streamlining and organizing complex grantmaking processes. The platform is highly customizable, which allows our team to tailor workflows to match our internal procedures. Once set up, it significantly reduces manual tracking and back-and-forth communication, making the entire lifecycle—from application to reporting—much more efficient. That said, the initial learning curve was steep. It took time for both staff and grantees to become comfortable with the system, and some features required technical support or training to fully implement. Additionally, the depth of customization, while powerful, can lead to overcomplication if not carefully managed.

Pros

Overall Fluxx has transformed the way we do grantmaking. We are seamless in our workflow among staff. We no longer are reliant on just the grants management team to keep the process moving along. As our organization keeps evolving and we move toward trust-based philanthropy, we can constantly adapt our grantmaking through Fluxx. Our grantees can log in to their accounts to see their proposals, reports, payments, and past grants. The customer support from \[sensitive content hidden\] is hands down the number one reason why we would recommend Fluxx!

Pros

The platform is very user-friendly for both our staff and grantees. Fluxx is very customizable for our organization's workflow. Since it's cloud based, we can access our data anywhere, anytime, unlike our previous GMS which was hosted onsite. We have been able to build LOI, single-stage, two-stage, RFPs. The customer support from \[sensitive content hidden\] is unbelievable!! We also switched from hard copy paper files to being completely paperless and Fluxx has helped us achieve this by creating auto emails and letters.

Cons

The customization in the admin panel requires some degree of programming knowledge, which has been a learning curve. But the fundamental digest and general discussion posts are helpful as well as the training provided. I download reports to excel since they do not generate so pretty. Then I manipulate the data and configure the appearance.

I have not administered other grantmaking software, but have used plenty of other systems as a grant seeker, and I find Fluxx among the easiest to use.

Pros

The best thing about Fluxx is how easy it is to use. Our applicants, grant partners, program officers, and external reviewers can quickly find what they need and they trust Fluxx will have the information in a logical place. As an administrator with little to no prior programming experience, the system is easy to maintain, update, and customize.

Cons

I wish there was an admin manual or other comprehensive guide for the system. Fluxx has a robust user community with active message boards, but I often have a quick, simple question and feel guilty bothering other users. I attended the admin training and have the training deck, but would love a resource that goes beyond explanations of what each card and modal do.

### "We made the right choice"

We made the right choice for our Trust in choosing Fluxx for our grants management. It's reliable, generally easy for grantees and staff to use after little training, and we can count on the data being right. The visibility of applications, grants, and payments though every workflow stage is easy to navigate and brilliant. The generation of outcome emails and letters has been a major timesaver over our previous system. We find the Fluxx staff very supportive, and interested in product suggestions.

Pros

Both grantees and staff find Fluxx easy to use and it is quick to learn. Grantees particularly like that several Trusts in New Zealand use Fluxx so they are familiar with the system and how to use it. Staff like that we can see applications while they are still in draft. When a grantee gets stuck we can see where they are struggling with their application, and help them through it. The system has very few outages and the 'Fluxx community' is a great resource for trouble shooting.

Cons

Some of the non-configurable fields and forms are not overly intuitive for grantees or staff. The log in screen is a good example. The existing users signing in on the left of the screen, and the instructions for new users on the right is a good example. New users often attempt to make up a username and password rather than read the instructions on the right. This layout can not currently be changed. Where multiple select dropdown lists are used the data export is not in a format that enables easy reporting. This makes reporting and impact measurement a little cumbersome.

Reason for choosing Fluxx Grantmaker

Fluxx had better migration support, reporting, configuration options, and conflict of interest management than the others.

### "Functional and not terrible"

I wasn't involved with the selection of Fluxx, and only started at the organization after it had been widely implemented. Thus, I can't speak to business problems it fixed.

Pros

It works. It's reasonably easy to learn and use for a wide variety of populations.

Cons

The support provided by the developers is so slow it may as well be nonexistent. We were promised multi-language support when we were being sold the product but, years later, they are only starting to roll it out with an associated surcharge. Table fields are great for data entry in Fluxx itself, but when you try to export the data in a spreadsheet, it's a mess.

### "Versatile but complex software "

Pros

The functionality of the software is huge.

Cons

Fluxx takes an inordinate amount of training to grasp its full functionality. The system is complex and I have not found it to be intuitive, as evidenced by the multitude of basic questions exchanged in Fluxx Users' General Digest weekly email. Most of the higher functionality of the system requires quasi programming knowledge and small errors can result in huge disruptions to the system. As a result, our organization has not used the platform to its full capacity, and because of its complexity, employees turn to their Admin for information rather than use the system themselves (grant management support is a small fraction of the work we do). Overall, Fluxx is NOT user friendly either for admins or grantees and I see its value only in supporting large grant-making organizations with dedicated staff, who use this platform on a daily basis, and have the capacity to fully leverage its versatility. As Fluxx programs are customized for each client, I've seen organizations having to produce their own 10 page booklet to instruct grantees how to use the system, which speaks to both its complexity of use and to the lack of templated training guides. Any enquiry from the help desk takes a few days for resolution, and charges are quickly presented for more personalized help.

Fluxx allows us to customize how we do our business and provide the work flow to adapt if we shift. It is a very robust product with a lot of functionality.

Pros

The ease of use and being able to customize is very important to how we do our business. We have been using Fluxx for 12 years and have not looked back. Great product

Cons

The current integration with Sage Intacct has been tricky based on our work flow and levels of approval but am confident that it will smooth out

I LOVE Fluxx! I recommend anyone thinking about changing systems to look into it - your staff will thank you!

Pros

\- Cloud-based system with GREAT mobile app to access the information you need anywhere, at any time - Super intuitive for our staff, even those who aren't tech-savvy, and ANY tech-savvy person can be an admin - Easy to learn for admin, workflows are easy to set up, great automatic email settings (ESPECIALLY compared to a program like Salesforce) - All of the forms are extremely customizable - Connected information! No need for 10 browser tabs, all of the information you need can be organized next to each other and navigated to quickly - Can set different Dashboards for different staff members - Easy to navigate grantee portal, with ability to create different portals for different types of grantees or programs - Ability to streamline all of your grant processes within Fluxx, rather than doing some parts of the process through email or spreadsheets or docs, etc. - Easy-to-use ticket system for support, and they get back to you within a few days. Every Fluxx Support staff member is extremely helpful and will work with you over email to make sure they can tell you exactly what settings or code you should be using to get the result you want. PLUS, if they don't have the functionality you want, they will consider it for a system-wide change in their upcoming updates. - The staff are awesome! The people who work there are nice, bright, hardworking, and incredibly committed to making Fluxx the best it can be and giving you the best experience they can.

Cons

\- There is no way to bulk import data on your own :(

Pros

Fluxx Grantmaker is a feature-rich, "one-stop shop" platform for grant-making organizations. It gives organizations the ability to store, organize, and retrieve critical data pertaining to applicants, grant requests, awards, due diligence, compliance, payments, and much more. The system has seemingly unlimited features that enhance the organizations' ability to organize and leverage data. If you want a feature, Fluxx almost definitely has it or can provide a workaround to get it.

Cons

The number of features and scale of the platform are the primary challenges of using the system. The sheer number of settings and options almost necessitates an organization assign or develop an in-house expert who can maintain the system.

### "Underwhelming"

I've largely been underwhelmed with Fluxx. I wish we had gone with another platform. It feels a bit too late now for my grantmaking purposes but I'm not recommending other teams at my organization to start using it. I would not give a positive reference if another grantmaker asked me about it.

Pros

Automatic notifications; reporting functionality

Cons

Not grantee centric - their portal looks very basic and does not match the grantmaker experience - this is concerning and reflects a damaging power imbalance between funder and grantee. The customer support from Fluxx is pretty bad. We've been left hanging a few times and didn't have a formal transition from one account holder to another. Not the professionalism we expect. Our instance seems to break semi-regularly.

Pros

The flexibility of various functionality was most appealing.

Cons

I've noticed that creating and pulling various ad-hoc reports requires a substantial amount of time and testing before arriving at the intended outcome, for example, I have pulled reports where the currency symbols do not pull into the report or fields that have been changed or updated pull in the old data or a mix of the old and new data.

### "Fluxx - Good and getting better"

My company have been using Fluxx for several years as our main grant management system. I am relatively new to the system having only used it for 6 months, but it is intuitive and user friendly and within a few short months I was able to use the system as well as those that had been using it for much longer.

Pros

The support offered by Fluxx is second to none. Whether it is a quick user query or a request for new forms to be built, requests are always dealt with swiftly. There is also a huge database of self help documents which give you detailed breakdowns of how to use all elements of the system. Both of these coupled with the Fluxx community which allows you to ask questions and have discussions with not only Fluxx administrators, but other Fluxx users, means you are never far away from an answer to any question. The system is constantly being updated with new additions added all the time. These additions are often based on user feedback so if there is something that you would like to see added don't be afraid to ask.
