### "Super Flexible Grantmaking System"

We have been able to streamline our operations considerably with Fluxx, so that our standard workflow can be operated by one person, and the quality of the generated reports taken to our Board is exceptional. The flexibility is so great that it can be a challenge to know when to stop refining processes! Having got to this stage, however, it means we can concentrate more on higher-level concerns like outcome reporting, equity issues, and community engagement.

Pros

The positive experience started from the beginning: the onboarding process. The onboarding team helped guide us through organising all the exported data from our old system and mapping it into the new structure. I learned that there is no "default" setup - everything was set up from scratch to match our desired workflow and existing data. As we have grown and needed to make changes to our grants programmes, we have customised Fluxx more and more to our particular needs. The majority of this we have been able to do ourselves or with the help of the active and helpful Fluxx community from around the world. There is a huge amount of knowledge and goodwill on the Fluxx community forum, there are local user groups, and an annual Fluxxcon conference. The Fluxx community is well supported by the company (dedicated member of staff) and by far the quickest way to get help when needed. Fluxx's Advanced Services team are available to take on bigger customisation projects, but we have not needed to use them (yet). Another stand-out for me about the product is that you can modify the system using (limited) lower-level coding in a reporting language called Liquid HTML, and its underlying language Ruby. This opens up possibilities for incredible customisation of reporting, workflow, external data access, and processing.

Cons

From the beginning I realised "there is no manual". Yes, there is documentation within the help-desk system and this is growing over time, but it tends to be task-based rather than actually describing the interface and what everything does. Support is sketchy at times. There is often better information and help from the rest of the global community than from the Helpdesk; over time, too many of my bug reports have gotten stuck at "With Engineering" and not resolved. Offsetting the support issues is the way that Fluxx provides levels of certification for users and admins, though online courses. These appear to be valuable conduits for product knowledge and good practice. Recently, Fluxx has locked down some of the things that we used to be allowed to do with Ruby programming within the system. Thankfully, they listened to users' voices and have allowed some more flexibility than they were planning, but the net effect has been that it takes some more time and effort to learn the programming environment and to implement features using it. The cost is quite considerable, about 1.5% of our granting budget. This could be prohibitive for grant-makers smaller than we are. We feel we get good value for this.

### "We've adopted the product and some of the staff!"

At onset the pacing of the onboarding process was set well, and the team was very accommodating. The staff building the product frequently answering questions and willing to 'tinker' to service the need of our organization and the uniquities of having our membership agencies as grantees. During the initial testing process, we felt like we could have benefited from more guided instructions (we don't know what we don't know) and perceived that we needed more time during refinement as we had a different perspective/ understanding of how the system worked and needed to make the necessary adjustments. However, our team felt rushed by project management at times to complete the project ahead of schedule - but during meetings expectations/priorities were clearly discussed and interim meetings were held (in-between standing meetings) to ensure the quality of the product.

Pros

The customization of platform is a highlight and the willingness of the team to provide a product that best fit our needs. There was a team effort to onboard our staff. Each person was knowledgeable about their particular area and was incredibly helpful.

Cons

There are some quirks about the platform like, when printing a pdf the text in the blue box is black and difficult to read and the font color for a signal message is very light on the grantee dashboard side.

My team is liking Fluxx overall so far. As the person overseeing its setup, we are still rolling out the system and the jury is still out on if purchasing the system will be worth it or not.

Pros

Fluxx is highly configurable. You can set it up in so many ways.

Cons

I purchased this software needing a budget management system. After months of research and testing (and being told by the marketing team), I believed it would meet our needs. Now that we are in the system, I see that the budget management aspect of the system is not configurable (although everything else in Fluxx is) and is badly built. I wouldn't recommend this product for anyone looking for budget management until they make some fixes.

Pros

Fluxx is extremely adaptable to our program's unique needs. Our grantees and grant reviewers have both shared that they find the platform to be extremely intuitive and user friendly. Fluxx's implementation team takes the time to learn each organization's program, and doesn't stop until it's right.

Cons

For the administrator, Fluxx has a steeper learning curve. Making changes to the site or a grant application sometimes involves liquid code and can be cumbersome and lead to errors.

It has had its challenging moments but overall, the experience was good.

Pros

So far it is moving our old-school system of paper to an online system. It is allowing us to expand and reach more people and keep all the grantmaking information in one location.

Cons

The system itself has nice features and is fairly intuitive. I do think some features can be improved. The system itself is good, but I think that the sales team and the implementation team need to have better communications on what is possible in the system and exactly what it looks like to relay to potential customers. I think that even having implementation experts on sales phone calls with serious, potential customers is necessary. Sales gave me high expectations on what was capable in the system for the splitting of our foundation and scholarship programs, which are from completely separate entities. However, reality was different and it was frustrating for me and my team, but im sure also frustrating and challenging for those helping implement our product. Plus, sales didn't seem to realize the scope of our needs or ask the right questions initially. The implementation specialists realized the scope of our needs fairly quickly, and realized how different some needs were compared to what everyone initially thought, leading to a change order. I know all companies struggle with this to some degree, but it would be my biggest recommendation for company improvement for more satisfied customers. If we had not had the complexity of these two separate entities using the same software, the implementation would have been a total breeze for the foundation.

The ability for the foundation and the scholarship programs (two separate business entities) to use the same software and the same features/functionality at the price initially quoted to me was better than the features/functionalities/price from other products. And other products sometimes required each entity to use a separate product, which nearly doubled the cost.

Overall very satisfied and would recommend to other organizations, but I still feel as though I'm just scratching the surface of what the system can do and figuring out things on my own that it would have been nice to be shown. Again, that's not to imply the implementation team didn't show me everything they could in the time we had. \[sensitive content hidden\] was spectacular, but he spent a long time building the system and answering questions and I would appreciate similar access to someone to bounce ideas off of as we iterate.

Pros

Our implementation lead (\[sensitive content hidden\]) was a joy to work with. He was very responsive and always able to understand our unique needs, working with me to come up with solutions to multiple idiosyncratic things about our process. The system is very user-friendly for grantees, and our employees are so far able to pick up their roles pretty quickly as well.

Cons

The training videos are utterly atrocious. Overwhelmingly long, boring, and maybe it's me, but they don't seem to help much if I have questions about how to actually do something. I also would appreciate more ongoing check-ins and support; I felt like I went from weekly meetings during implementation (which were super helpful but in no way could have really covered all possible scenarios) to no guidance at all and it's been a little overwhelming. The community and knowledge base are helpful resources, but sometimes a little too hard to narrow down. Sometimes when I open support tickets, it's obvious from the response that my initial message wasn't read thoroughly.

### "Excellent Choice!"

My overall experience with Fluxx Grantmaker is a positive one. I love the Fluxx Community and the opportunities to network and learn. I like that they are open to users contributing to product ideas and having a say in future product development. As the grants manager, I am currently looking at ways to optimize our Fluxx instance. We recently received a 'site scan' through our customer success team and the chief development officer. We received a performance audit of our instance, a general facelift of our user interface, and received recommendations for improvements. It is opportunities such as this, to collaborate with Fluxx, that I appreciate.

Pros

The most exciting thing about Fluxx is the user interface. I've been using this system for about seven years and still get excited every time I log in. Fluxx is easy to use, customizable, mostly configurable, and has tons of features and available integrations to tap into.

Cons

I do not like the ad-hoc report feature. I wish there was a simpler way to identify and add fields to reports; 'hunting and pecking' for the fields you need is a time waster. I also don't like that product update releases sometimes 'break' something that was working before the release and then have to wait for customer support to fix it.

Fluxx was customizable, which was important to us because of the limitations of our grantmaking and our processes. It also had a user-friendly interface.

Mostly positive. There is a great community that provide a lot of support and help in getting to learn the product. The product itself is very flexible and offer a lot of possibilities to custom it so that it fits our needs. However, it requires some time and energy to learn how to administrate it properly, especially when you are a small team (like ours)

Pros

What I like most about Fluxx is that changes to the live process or forms can be made on-the-fly. This is very helpful for us as a new foundation still iterating on really everything to do with our grantmaking cycle. Another thing I like is that the company really does listen to its user community, incorporating our ideas into their updates.

Cons

What I like least aboutFluxx is that it's capability is deep, but there isn't a good way to tap into all that is available. When we set up the system, the implementation folks map the Fluxx system to your current process without really sharing what is available/possible. So now that we are changing our processes, there could be features that we could use but we don't even know what is available. Also, there is a lot that can be done with liquid code, but if you aren't fluent in liquid, there really aren't any resources to help except for other users who are busy with their own jobs.

Pros

Fluxx is incredibly customizable. We were able to build and implement grant processes that reflect our values and the desired relationship we want to create with grantees and applicants, rather than needing to create workarounds based on an out-of-the-box or one-size-fits-all system. The connected data structure mirrors the relationship-oriented way we work and makes it very easy for members of our staff to move through the network of grantees and applications. Complex reporting tools are available and there are many features and integrations to experiment with and refine our processes so it can improve from year to year. Additionally, there is a strong Fluxx community to rely on with questions about those features or ways of maximizing the impact of Fluxx.

Cons

Shifting from an out-of-the-box GMS to Fluxx meant that we weren't prepared for the amount of work it would be to set up, build, and maintain Fluxx. Some back end tools like document and email templates require strong knowledge of liquid code. Staff members who are not fluent in Fluxx can't design their own reports, for example, because of how complex reporting in Fluxx is (the knowledge of backend field names is required, as well as understanding the relationships between models). Operating Fluxx, though it results in strong report, a flexible workflow, and lots of customization, is a heavier lift for the grants team and required new staff hires with past Fluxx experience. Additionally, the support team, though thoughtful and helpful in the moments when something goes wrong, is not available to brainstorm solutions, just solve problems. It would be helpful to be able to consult with someone inside of Fluxx when we have questions about new features or tools that could benefit us, rather than needing to seek that out from the community or pay for an additional contract.

It was great working with him.

It is user friendly. Easy to navigate through the grantee portal. Also, I love that it can auto generate emails to our clients so we can consistently give them updates on their applications or reports. q

Some things like the dynamic box are too small. Our clients say they cannot read all of the questions we have on applications.

We recently completed a two-year onboarding process with Fluxx, and the experience was great from start to finish. \[sensitive content hidden\] and the Fluxx team provided exceptional support as we scoped and developed dozens of complex programs while ensuring our system was designed to accommodate future growth. I appreciated their flexibility and allowing us to move the project forward at a pace that worked best for us. One of the reasons why our Fluxx build was so complex is because we are building custom integrations with our Fluxx environment. \[sensitive content hidden\] and team expertly helped us navigate this process by ensuring our Fluxx build and models would align with future integrations, and also by guiding us when we had an array of technical questions. There were multiple times during implementation where \[sensitive content hidden\] helped us rapidly and efficiently resolve blockers which is a true testament to her deep knowledge of Fluxx and her care for Fluxx customers. \[sensitive content hidden\] and the Fluxx Data team also led us through a large-scale data migration in phases which provided our team with clear goals and milestones. All of this support has really set us up for success to maintain and scale our Fluxx environment - we are so grateful to \[sensitive content hidden\] and the entire Fluxx team!

Pros

The system's ability to handle dozens of complex programs with different forms and workflows combined with an admin's ability to make quick changes as needed, is impressive. Additionally, the Fluxx team and the Fluxx community forums are both excellent!

We selected Fluxx after poring over a dozen possibilities and two like-functional contenders, chiefly because we knew our staff would value well-designed, anywhere anytime access (great web and app interfaces); our grantseekers /grantees would appreciate how Fluxx's portal design addresses common frustrations of applying for and managing a grant; and the Fluxx company itself is the brainchild of extremely thoughtful people who not only understand philanthropy first hand, but are as committed as we are to making these tools advance our effectiveness, not bog us down. Our instance of Fluxx is used by the entire staff every day as a knowledgebase and resource for understanding the impact of our grantmaking, a first for us, and it has simplified the regulatory work of our grantmaking beyond expectations.

Pros

Fluxx has a great process for working with you to build a grants management system that reflects your grantmaking culture while connecting you to the power of its software and effective practices in the field. The underlying architecture is fast, reliable and secure, and training (from grantseeker to reviewer to program team to hard core admin) is an easy path. They are great listeners, and demonstrate how critical our grantmaker experiences are to product design and features. Yet the value of Fluxx is not exclusively on the technical side, it's also in how it can support a transformation of attitudes about what the role of grants management is going to be in your organization. Last but not least: Fluxx is as accessible as they are brainy: they are catalyzing a community of users using grassroots principles (their annual (un)Conferences are completely user-driven), and their leadership is as likely to join a conversation as the first-touch support staffer.

Cons

Fluxx is growing fast and on the way to ramping up its support and implementation teams to meet a dramatic increase in demand. Until they catch up, the out-of-the-box training materials and knowledgebase can reflect outdated material. This is further exacerbated by the fact Fluxx often turns on a dime (yay), improving features before full documentation is updated (uh-oh). Luckily, their user community is filling in the gaps as is a new program of quick training webinars.

### "Great for customization"

Overall, I enjoy using Fluxx and have found it easy to use after being trained and having been the administrator for a while. Now that I understand how the system works, it's easy to troubleshoot and customize features to our needs. However, for new users on the grantee and employee side, it can be a bit tricky to figure out. There are certain features that I wish could be improved, like financial reporting, reporting out on impact, and types of data collection.

Pros

As the admin user of Fluxx, I like all the customization features of Fluxx that allows us to create a grant application that perfectly matches what we want to collect. The ability to customize applications and reports as an admin user is great, and I like the independence of using the system without needing technical support from Fluxx. The same goes for troubleshooting issues - the admin panel is overall easy to understand after you have been trained and used it for a bit.

Cons

The reporting features or methods of measuring impact data are not as strong as I would like. In order to learn more about our grants, we have to either do an excel export manually or create an AdHoc report to show data. AdHoc reports are a bit tricky to set up, and still end up in an excel format instead of a summary card on Fluxx. I would like a better way to report on grants, and share reports or impact data with leadership at my organization. Fluxx is also not easy for all to understand if users are not tech-savvy. It might benefit from working through some kinks and being a little more user friendly on the grantee side.

Fluxx is such an easy product to use and it lifts so much of the burden off of foundation grant admins and grant applicants. Crowdsourcing techniques through the Fluxx community is a wonderful way to innovate our work.

We started an ambitious re-granting program to provide access to funds for local organizations throughout the state. Through this program, smaller organizations can apply for grants up to $50,000. We knew how we wanted the re-granting program to work, but we were extremely green when it came to applicable software and data management. I was brought on as the Grant Program Manager after the decision was made to go with Fluxx and I couldn't be happier. After a small issue with our initial contact at Fluxx, we were reassigned Kris Tan as a project manager. The rest of the process went very smoothly. Kris was extremely attentive to our needs and coached me through learning the software and building our initial instance. I had little background in software applications and after going through the tutorial and practicing (this was key!) I feel completely comfortable as the site administrator, even to the point that in the last three months, I was able to completely re-engineer our workflow and build new application forms. Although Fluxx set everything up for us pre-launch, we decided to reconfigure our instance after learning some tough lessons during the first grant cycle. Overall, Fluxx was pleasant to work with and guided us step-by-step through the build, implementation and any support we needed.

Pros

\- Support from Fluxx team ----They are very responsive when submitting support tickets. A member of Fluxx support team usually responds within the hour. - Easy to make changes to forms, workflow and landing page - adaptability of software and converting data easily into an excel sheet - Filtering of Cards. We have multiple cycles of grants occurring at all times. I can easily filter which cycle I want to focus on by filtering the cards. This allows me to be organized and "remove" applications by filtering them out of the card without actually losing any applications. - Multiple warnings if you decide to delete a record in the system -Fluxx also gives you a pre-production site to test all of your solutions before implementing on the live site. -The Fluxx Community site is a great resource for problem solving and asking experienced users if they have ever encountered a particular situation before.

Cons

\-Card re-load times are occasionally slow, but I have never had a problem with the site crashing.

Continuous evolution, incorporating improvements such as upgraded reporting capabilities, better user interface, integration with NetSuite, we've been able to develop comprehensive training programs, and enhanced tools like Grantelligence, all of which collectively enhance grant management efficiency and decision-making processes that we never had before.

Cons

The initial site performance issues, which were addressed through regular maintenance with Fluxx, and the need for extensive compliance warnings due to upgrades, which although necessary, required additional attention to ensure smooth implementation to our system. In the end, the improvements and customization made a big difference.

Overall, we are satisfied with Fluxx. It has the features we need, plus a lot that we don't need. Speed is a constant frustration.

Pros

Fluxx Grantmaker is easy to use and easy to learn. It makes collaborative grant review possible with some custom features, which we paid extra for during implementation.

Cons

The biggest con is the speed, which is incredibly slow at times. Some features don't work consistently, like the search functions.

### "Moving from a database to an automated workflow data management system"

Fluxx has transformed the way we work. It improved access, centralized our data, and streamlined our processes. We automated many of our manual processes: instead of routing paper files among staff we use dashboards to inform staff of pending work. Now staff members can work from anywhere there is access to the Internet and they are able to see pending information as well as real time updates. This implementation required data migration, testing, validation, change management, workflow creation, consensus building, communication, and training. A tremendous amount of work went into implementing Fluxx but so far it has proven to be a good decision.

Pros

Remote access, centralized information, automated workflow, real time updates, and budget planning.

Cons

The two areas we like least are: reporting and their current tech support model. Reporting: robust reporting is not part of the core functionality and this is because dashboards were meant to inform clients of this information. However, reporting is still part of many foundation's processes so they have facilitated reporting through secondary databases. So the functionality is available but it isn't as seamless as it was in other products. Tech support: Since Fluxx is such a robust product and is highly customizable, their approach to tech support is to have the clients make the changes and troubleshoot, rather than say remote-ing into your computer and fixing it for you. They also currently have a primarily email response to tech support which is not always a good fit (for example after multiple emails or when there's an emergency.) The good news is that you can request a phone call now and they are looking at changing their tech support model to include other forms of communication other than just email.

Pros

The software is very customizable. It allows for us to customize to the type of grantmaking we do and tracking information that is most important to us and stakeholders.

Cons

The biggest challenges include: poor user interface/experience, complicated admin panel/set-up recurring extensive knowledge of the software and database administration, does not allow for common grantmaking needs (i.e. external report review, impact tracking, etc.).

The email feature is very poor for admin management. I particularly don't like the cards interface. There is not enough documentation, a user manual and admin manual would be essencial. Many item in admin panel with zero information in knowledge base.

Pros

Grants management - grantees have "one stop shop" for all their requests, awards, scheduled payments and reports in one portal. Same way with how we monitor all our records, we have one portal to look at.

Cons

incompatibility issues with Microsoft add-ins

Fluxx is very well received at our office. It's easy to use, hence the transition was smooth and people got used to it quite quickly. People appreciate the fact that Fluxx allows them to easily manage their daily work and track progresses of an application or grant. We still need to learn how to better work with the system for data reporting and data analysis, but so far it helps us greatly in managing our grants.

Pros

Everyone at our office loves the interface and how Fluxx allows you to personalize your screen according to your needs. It's very easy to (re)configure the system, for a relative young organisation which is still (re)adjusting its processes, the flexibility is highly important. We enjoying the (growing) user community and benefit a lot from the community-driven feature developments.

Cons

Some features still have minor glitches. This said, there are work-arounds and Fluxx is usually quick in addressing these. Reporting is already quite useful the features allowing for complex reporting with drill-down possibilities could be improved. We have demand for higher standard of security and further segregation of permissions.

Our organization has used Fluxx for several years to help manage our grantmaking programs. We have definitely seen improvement in Fluxx over the years. The software is extremely helpful in supporting workflow processes, it is much more straightforward than MicroEdge GIFTS, and overall we are happy with the experience. Customer support has greatly improved as Fluxx grows and continues to establish itself.

Pros

Supportive of workflow, helpful with running reports, budget tracking, easy to quickly find information on particular grants

Cons

Fluxx has many different capabilities and this only seems to keep expanding. However, there are a lot of little bugs that require workarounds. It would be great if Fluxx could focus on fixing these bugs while at the same time adding new features.
