The tool structures my day, makes sure that nothing slips through the cracks and keeps me accountable. By now I use it for my freelance job as well as my private life and tasks around the house. Pros Nothing slips through the cracks. SkedPal knows all my tasks, their deadlines and the appoximate time they will take. I don't have to worry about forgetting something important. The Slack community is very active, and the owner, Saied, will answer (or at least acknowledge) all questions and requests. A few times I have attempted to work with another tool, only to find myself coming back to Skedpal the next day. The disparity feature-wise is astonishing. Pros Skedpal is a tool like no other. I have used several to-do apps over the years and most of them lacked features that would allow me to organize my personal and working life as I wished. Skedpal is a game changer. You can organize your projects/tasks/subtasks hierarchically (outline layout), add as many child tasks as you want to your tree, define time maps and preferred times to execute tasks, define budgets so as to not over-concentrate on a single subject, and much more. The main feature is the ability to click an "Update Schedule" button and let Skedpal do all the math behind the scenes to deliver a plan to your day. No more giving poor estimates to upcoming projects! With Skedpal you can see how busy you are and how feasible your deadlines are. Cons Skedpal has many features, so the most common con is its learning curve. I love learning about new tools that can boost my performance, so it doesn't bother me much. Hard to think of using anything else at this point given the complexities we all face in life and how much easier Skedpal makes it to navigate all that. It's probably most useful for people who are spending a lot of time on the computer for work. Pros Skedpal is a really, really helpful app for organizing your to-do list in a realistic way to actually get things done. Most of the time we don't have a sense of if we actually have the time to complete all the things we would like to. Skedpal fixes this by plotting out your tasks onto a calendar according to the criteria you provide (time needed to complete, priority, what time of day it can be done, etc.). What doesn't fit gets put on a separate list called "suggestions" where you have the opportunity to reschedule things. It honestly relieves a lot of stress for me knowing how my to-do's fit or don't fit into my schedule and makes it easier to focus on what's most important in the moment. Cons It has a learning curve and takes a fair amount of time to set up all your tasks in a way that is really useful. The time is well worth the effort and it saves a lot of time in the long run, but for those who are looking for a quick-fix sort of tool this isn't it. I'm fully invested, and really appreciate everything that \[sensitive content hidden\] and team are doing. They are also working on a more active/dynamic scheduling / time tracking add-on called Compass which I think will be a game changer Pros Skedpal is awesome for a few reasons. First, and most importantly, the team (while small) is highly engaged and always willing to entertain and action suggestions. Second, the app in it's current state is great. I've tried a bunch of different AI scheduling tools and Skedpal is by far the most robust. The amount of functionality and flexibility you have at your fingertips to tailor your schedule is far greater with Skedpal than anything else (e.g., Motion, Reclaim, etc.) Cons While the outliner structure is great for flexibility of task organization (e.g., turning something that was once just a task into a project - super easy with Skedpal), I do wish there was functionality to view tasks in table format, with easy sorting/filtering. The visualizations of your schedule / tasks are not as good in Skedpal as they are in Motion, for example. I couldn't be where I am today without SkedPal to help me juggle all the tasks I have to do. I have and will continue to recommend it to friends and family members Pros I have severe ADHD and have great difficulty managing my time / tasks / workload. At the same time, I have a huge amount of random tasks (school, research, work, personal) of various deadlines and priorities to work on It used to be (and still is) a huge struggle, but now I can simply dump all the tasks I need to do into SkedPal, and it will automatically generate a schedule to tell me what I should do. And if I get off schedule, or if new tasks come up, I can simply press "Update Schedule" and I'm immediately back on track again It has helped a lot with the existential dread that there is some task I'm forgetting to do, or some deadline I won't be able to make. As long as I keep SkedPal up to date (and I'm honest with myself when inputting how long a task will take), I can be reasonably sure everything is OK Also, SkedPal has maybe the most fantastic customer support I have ever seen; you can just hop on their Slack server and talk directly with the team I think the price is quite reasonable for what you get, and for the target audience Cons That said, I'm not gonna say it's perfect, and it's probably not for everyone There are a lot of options and things to tinker around with, which is great for power users, but probably intimidating for some people. That said, I think it is reasonably accessible for the target audience In terms of bugs / reliability it is reasonably solid, but definitely not flawless. There have been occasional one-off bugs (due to new software updates etc.), but when I report them on Slack the team is very on top of it and work with me to resolve them Under each task there is an "Add notes..." textbox where you can type in notes about the task, and add basic text formatting. Unfortunately, it has some data reliability issues. For example, sometimes your changes don't save (I regularly encounter this one); I asked about it on Slack a while back and they said they knew about it and were actively trying to solve it. Worse, sometimes the contents of the box suddenly vanish entirely (only happened about 3 times, after using SkedPal every day for a couple years). I've recently decided to just stop using that section entirely, and add any notes as a subtask (which, actually I now prefer to using the notes section anyway) One critical feature that is missing is a way to make a full local backup of all your data. I asked the team and they said they make their own backups, though Their phone app has been improving over the years but it's still a bit too rough around the edges for me to use outside of simply adding new tasks to my inbox. I had all my tasks laid out for each day in the calendar in a big grid. I got by, but rescheduling was a nightmare, and I just had too many tasks to manage manually. I was thinking there had to be some tool that could do this automatically, and sure enough there was SkedPal. It actually is life-changing - true to a colleague's claim who recommended it to me. Pros The obvious differentiator is its dynamic time blocking feature. I've never seen any other tool provide for dynamic time blocking, such that as your schedule changes intraday, it automatically updates the schedule to make time for your noted priorities and push back the lesser ones - or bench them for later review. It's clear the team has put incredible time, energy, thought, and testing into this program and it will be around for the long haul. Cons It's a revolutionary way to plan your day, and especially if you're new to time blocking, it's a lot to wrap your mind around initially. Even if you are experienced, learning the UI takes time. But if all you wanted was a simple checklist, you could have just used paper! No way around it. Am horrid about it. I know I shouldn't do it. But I still do it. And once I lose a chunk of time in the day, I can never get the day back because I dread having to look at a todo list and figure out what to do next, what to prioritise and what to discard from my day. That kills my day. But not with Skedpal. Even if I lose a chunk of my morning, I don't freak out and think I have wasted the day. I know Skedpal would have figured out what I should be doing and only look at that next task. That saves my day. The auto scheduling works like a charm once you figure out the right time blocks. Pros Hands down the best part of Skedpal is that it takes away the stress of having to deal with multiple incoming things in a working day. If you are in the middle of something and suddenly 3 different tasks like a meeting or a new project request pop up in your inbox, Skedpal has you covered. It's auto scheduling is the best in class and after a while it becomes second nature to let Skedpal take the heat. You can be sure that it has come up with the best schedule for you. The icing on the cake is the sync with the Exchange account. If you have accepted a meeting in outlook, you don't have to go and reschedule your day unlike in any other todo list software. You literally don't have to do anything other than accept the meeting in outlook. Skedpal will have automatically synced with your work calendar and rescheduled your day before you know it. So when you finish the task you are on and go back to your today screen, you would see you day replanned around that unexpected meeting request you accepted. Skedpal is the best at what it does and works better than standalone todo list software such as Todoist or Things 3 Cons The time tracking that was there in beta is now missing. With just some semblance of time tracking Skedpal would be a killer productivity tool. If you have high complexity in your life, SkedPal can definitely help you. The developers are responsive, and I bet it's going to get much better in the coming months and years. Pros SkedPal is a great app for taking your priorities, dependencies, & urgencies and re-arranging them into a functioning schedule. Not only that, it can take your personal idiosyncrasies into account to get you the best schedule possible. So, what are the advantages of outsourcing this activity to software? In my day, two major things: 1. It saves time 2. It frees up your mind 3. It makes you more flexible For me, 3. is the kicker. I used to do scheduling manually in my calendar, scheduling all tasks > 15 minutes. However, even though my day is highly predictable, sometimes new opportunities arise. With my manual setup, I was "punished" for taking those opportunities by having to re-arrange my schedule. Furthermore, this inflexibility made me feel like I was being controlled by my calendar, rather than the other way around. SkedPal fixes all of that. Give it your tasks, duration and it'll give you a good schedule. Tell it what kind of tasks you want to do at which times through the time-maps feature, and it'll give you a great schedule. Add in complexity by having tasks that can't start before a specific time, some tasks with a due date, and SkedPal doesn't skip a beat. All this complexity is removed from your mind, giving you the freedom to to think about more important things. (Can you tell that I like the software?) Cons However, all is not perfect. Firstly, there is some learning curve. Their onboarding is decent, but there is room for improvement. Secondly, the interface is dated and the app is written in JavaFX, so it's slow, crashes on me once a week (but all is backed up) and is only accessible on computers where I've installed it. A web-app is in the works, and I'm looking forward to it! Third, data-entry is fast and good. But not great. Todoist does great natural-language-processing on tasks (think "Call mother at 10pm in 2 weeks" or "Wash clothes every 10 days"). Pros I have been searching for a tool, that I knew could exist with our current level of technology, to help me view and organize my commitments. After countless experimenting with other task/project management software, I have found SkedPal. I feel that weight has been removed from my shoulders. Because of the ingenious deployment of technology in SkedPal, I am now able to reclaim a lot of strength and focus from scheduling/planning and repurpose both to production. I have always been productive when working. I now have greater bandwidth to do more. There was always tension before planning and scheduling my work; I have a lot of commitments. No more. Pros Years ago I literally thought "if only somebody would create a software that would help me plan my days and weeks in a way that it takes into account my goals, projects, deadlines, current available time AND that can adapt the scheduling to the many changes that will inevitably arise in my day to day life." Well, it happened....SkedPal was create. I use it every single day and would be lost without it. I have so many things to do and also so many personal demands on my time that I needed a way to "budget" that time while making sure I was hitting all my priorities so I could make progress on all my personal and work goals. I don´t know what I would do without it. Also, the developers are SUPER responsive and the support is phenomenal. There are so many great things I could say about this software. I'm so grateful to have joined the Beta team of users years ago. Cons It has a little bit of a learning curve and there are some basic concepts in time management that are worth learning in order to make better use of the software and make sure it is the most effective tool for you. I will continue to user for the foreseeable future. Pros I love that I can not only keep track of my tasks in the same place but I can organize them in a systematic way, then the AI places them on my calendar which makes it so much easier to manage my tasks on a day to day basis without re-making a list. Cons The price is high, and the only reason I can afford it currently is because of the student discount.
