Review data was collected between June 2024 to June 2026, drawn from Capterra’s database of over 11,000 knowledge base reviews.

Deciding on the right knowledge base for an IT team depends centrally on the features that will be used. In the case of free tier products this must factor in any feature limitations you could run up against.

**Must-have features for IT teams:**

-   **Knowledge management:** An essential knowledge base element, that allows users to create, organize and version process and informational articles.
    
-   **Self-service portal:** A searchable front end for employee or customers to source answers to questions, without requiring assistance from an agent or technician.

While in previous years there were many more completely free knowledge base options on the market this has narrowed recently, as software providers increasingly prioritize their paid-for subscription options.

BlueSpice stands out as a free option for knowledge management as it is open source, and offers no limits on the number of users who can use it. It operates on Media-wiki and offers structured governance without licensing costs. This allows IT teams to self-host their own data, making it a viable option for teams in regulated environments who require more data sovereignty.

**Key features:**

-   **Granular permissions and approvals:** BlueSpice offers structured access controls over spaces, pages and users as well as content approvals before publishing.

These offer a strong fit when IT squads need dedicated ticketing and knowledge management within an encompassing free tool.

ServiceDesk Plus is a good pick for teams supporting internal IT service management (ITSM) due to its on premises deployment options. 1.  Availability of a genuine perpetual free tier, not a free trial 
    
2.  At least 20 reviews from verified free-tier users 
    
3.  4.0/5 or higher average overall rating 
    
4.  IT use-case evidence in review text 
    

\***Capterra’s 2026 Software Buying Trends survey** was conducted online in August 2025 among 3,385 respondents in Australia (n=281), Brazil (n=278), Canada (n=293), France (n=283), Germany (n=279), India (n=260), Italy (n=263), Mexico (n=288), Spain (n=273), the U.K. (n=299), and the U.S. (n=588), at businesses across multiple industries, ages (1 year in business or longer), and sizes (5 or more employees). Business sizes represented in the survey include: 1,676 small (5-249 full-time employees), 822 midsize  (250-999), and 887 enterprise (1,000+). The goal of this study was to understand the timelines, organizational challenges, research behaviors, and adoption processes of business software buyers. Respondents were screened to ensure their involvement in business software purchasing decisions.
