SwimTopia is available on an annual subscription basis for summer swim teams and school swim teams, outlined below. It is available free of cost for summer swim league boards. A free trial is available. High school or middle school swim teams: starting at $200, then $250/annually, per school Summer swim teams: 50 athletes: $179 first year/then $199 annually 100 athletes: $259 first year/then $299 annually 150 athletes: $329 first year/then $399 annually 200 athletes: $399 first year/then $499 annually 300 athletes: $529 first year/then $699 annually Extra athlete fees of ~$2.50 per swimmer apply when teams exceed their plan level.

Pros

  • I really like it, easy to follow and navigate. I have already recommended it to several of my friends.

  • I have used Swimtopia for almost 10 years, they are a great platform that I highly recommend. The website is easy to use and looks great.

  • The online registrations are AMAZING and our roster has grown by over 10% each year we have had SwimTopia. The website allows easy social media integration and promotion.

  • We love the registration capabilities. Swimtopia let's our parents self manage all registration simply, and our treasurer loves how simple it is to get money directly into our bank account.

Cons

  • For example, adding t-shirt size became a free-form field rather than allowing a customized drop down of options.

  • We tried a few different team management solutions with various levels of frustration. Swimtopia was the first where the coaches and administrators needed minimal training or instruction.

  • I don't like that you can't do lane assignments with this software. I still had to transfer into another program to do lane assignments and print out cards for my swimmers.

  • Reports can be a little difficult to navigate.

"The perfect solution for summer swim team management"
Overall: Very pleased overall and can’t imagine life running the swim team without a tool as effective as SwimTopia. Have no regrets about purchasing this product. Their customer support is fantastic- always responsive and knowledgeable.
Pros: It already includes most of the features anyone would need for running a summer swim team. It is fairly intuitive to use and once it is initially setup it is very easy to update and maintain from season to season.
Cons: The lack of a mobile app that allows more features such as meet signup is the one thing I wish it had. Text message capability would also be good - the push notifications are helpful but text messages would be ideal.
Alternatives Considered: TeamUnify
Reasons for Choosing SwimTopia: SwimTopia seemed to offer the best value for the money and the user interface seems better for summer swim team families that don’t have a lot of time to learn a new website tool.

"League wide site "
Overall: Overall our league has been very happy with the transition to the program this year. Everyone was extremely nervous at first but once they received help from the happiness support team they were put to ease. As a league we felt that our questions were answered in a very timely manner and we were listened to when problems occurred.
Pros: Our league recently switched to use swim topia. We have 43 teams that are in the league all on the same operating system now. The ease of the system is quick to learn, it easily brings the league together onto one easy platform for instant results to be displayed, and linked our communication as a board to all the teams top personal.
Cons: We still have a few reports we are waiting to receive in making our summer program run flawlessly. I would love to have more options when it comes to communicating with just one team over a group/role option.
Alternatives Considered: TeamUnify
Reasons for Choosing SwimTopia: More options were offered and the board members making the decision had more experience with Swimtopia on their team level.
Reasons for Switching to SwimTopia: The program was being no longer supported via our teams, database was crashing towards the end of the previous year

"Handles most of what we are looking for in an app"
Pros: When our previous website provider shutdown, I dreaded having to create a site from scratch. Swimtopia has a great deal of customizable options and tools that made creating and maintaining the site a breeze. I do like that every year, it seems to get better and better, showing that they are trying to make improvements.
Cons: Registration does not allow us as much flexibility as I'd like. For example, adding t-shirt size became a free-form field rather than allowing a customized drop down of options. This created a good bit of duplicate work as we had to research and follow up on non-standard answers. Communication is not as friendly as I would like. Our previous software had the ability to see open rates for emails, which, while admittedly not perfect, gave a better sense of whether the message was received. Better mobile usage would be helpful, particularly, the communication tool, so communications could be faster, for example, rain delays, cancellations, etc. Texting would be nice to have as well.

"Ideal for Summer Swim Leagues & School Teams"
Overall: Excellent. Tech Support has been very responsive when we have needs.
Pros: I love the "full features" that it provides from hosting a website that promotes the team to actually hosting and running a swim meet. It handles registration & waivers, purchasing of merchandise, fee payment, meet entry, and meet management. Swimtopia has also incorporated the ability to accept entries from teams that use other swim team management software. And it is so easy to use.
Cons: Any issues that we have had, Swimtopia has been great to make adjustments and fixes.
Alternatives Considered: TeamUnify
Reasons for Choosing SwimTopia: The developers have been great to help us with any custom features that our league required. Additionally, in looking at the other products, we did not feel confident that our short term volunteers would be able to drive the software effectively. Swimtopia is so easy to use compared to other products.
Reasons for Switching to SwimTopia: Our previous provider was not going to continue doing improvements to the product. Additionally, tech support was difficult to obtain at times.

"Love SwimTopia"
Overall: I have used Swimtopia for almost 10 years, they are a great platform that I highly recommend. The website is easy to use and looks great!
Pros: The software is so easy to use and set-up. Very intuitive for both administrators and users.
Cons: Like any software, there is a learning curve and some workarounds. However, the support team is always there and very helpful when I need it. In my experience, they always respond within 24 hours, normally much faster.
Reasons for Choosing SwimTopia: Clean looks, feel, and ease of use.
Switched From: TeamUnify
Reasons for Switching to SwimTopia: Team Unify was very difficult to use, with little to no support. The Webpages do not look as good and they are incredibly expensive.
